Job Description 

 

Donation Processing Coordinator 

Department: Accounting 

Reports to: Senior Accountant 

Full-time, Hourly Non-Exempt 

Location: Hybrid Office Environment (Mondays through Thursdays in-office) 

 

Position Summary: 

As a member of the Accounting Team, the Donation Processing Coordinator accurately enters and processes data regarding gift activity and donor intentions and ensures all donation documentation is properly maintained. 

 

Essential Duties: 

  • Promptly process singular, automatic, and recurring donations given via check, credit card, ACH, PayPal, wire transfer, and other avenues via phone, mail, and online. 
  • Ensure that all donations are accurately coded for entry into the donor database, and coordinate sending receipts to donors. 
  • Monitor PayPal and PayPal Giving, create transfers and reports. 
  • Serve as the primary contact to address donors’ questions regarding their payment methods. 
  • Monitor donor accounts and financial information submitted through the KAI website, ensure changes made by donors synchronize with the donor database. 
  • Update and maintain donor account information in an accurate and timely fashion. 
  • Handle cancellation of pledges and recurring payments for offboarding missionaries. 
  • Track memorial gifts and forward prayer requests. 
  • Research prior donations to assist the Development team 
  • Create new project codes in donor database as needed by Marketing & Development 
  • Actively communicate and collaborate with members of the accounting team. 
  • Support the accounting team with record keeping and retention. 
  • Organize, safeguard, update, and dispose of files according to file retention policy.

Education & Experience Requirements: 

  • High School Diploma required; associate degree preferred 
  • 2+ years data entry experience preferred 
  • 2+ years customer service experience preferred 

 

Skills & Knowledge Required: 

  • Proficiency with donor database systems or ability to learn. 
  • Proficiency with Microsoft Office and other business collaboration tools. 
  • Strong customer service skills in active listening and clear communication for telephone and written contact with donors. 
  • High interpersonal awareness and emotional intelligence. 
  • High degree of accuracy and organization. 
  • Willingness and ability to maintain confidentiality. 
  • Fluency in English reading, writing, speaking, and listening. 
  • Excellent ability to multitask.

Physical Demands: 

  • Remain in a stationary position for extended periods of time and be able to move about inside the office to access filing cabinets, office machinery, etc.

  • Operate a computer and other office productivity machinery and technology, such as a calculator, copy machine and computer printer, and must be able to use hands to handle, control or feel objects or controls and reach with hands and arms.

  • Read/comprehend, communicate clearly orally and in writing, reasoning and analytical abilities, and mental flexibility. 
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus to compare and distinguish accounting and administrative data.   
  • Hearing ability to perceive the nature of sounds at normal speaking level with or without correction. Ability to receive detailed information through oral communication and to make discriminations in sound. 

 

Regular Work Environment:   

  • While performing the duties of this job, the employee will be regularly working in a typical interior/office work environment.   
  • The noise level in the work environment is usually moderate. 
  • This role may on rare occasions be required to work overtime or outside of normal working hours.
