POSITION / TITLE: Executive Assistant

 

The Executive Assistant will primarily support the Chief Operating Officer as well as traveling executives and be responsible for a broad range of administrative & office manager duties.  Our Executive Assistant will have strong initiative, forward thinking ability, problem solving, sophisticated interpersonal skills, proactive mindset, good judgment to make independent decisions and high attention to detail.


LOCATION: San Mateo, CA


RESPONSIBILITIES:

  • Responsibilities include but are not limited to:
  • Arranging domestic & global travel
  • Organize/manage executive calendars
  • Maintain schedules for follow-up to ensure executive responses and follow-through (internal/external) are prompt and accurate
  • Build repeatable processes for administrative tasks to ensure efficiency
  • Anticipate executive needs for meeting preparation: reporting, presentations, etc.
  • Answer, screen, and route calls/e-mail communication 
  • Maintain electronic files for easy record retrieval
  • Incorporate creative approaches to various projects by taking initiative, being resourceful, and working independently
  • Prepare reports and/or special presentations/projects, which may include data collection, coordination, final copy preparation, distribution, etc
  • Become familiar with all department functions to communicate with them effectively
  • Inventory control, space planning, operational & facilities management
  • Other duties as assigned



QUALIFICATIONS:

  • Minimum 5 years’ experience in Executive Assistant role, preferably in the technology sector required
  • Minimum 10 years’ experience supporting multiple executives required
  • Previous office management experience required
  • Strong organizational, coordination, and project management skills 
  • Excellent and creative problem-solving skills
  • Domestic & international travel arrangements
  • Calendar management – scheduling, planning, confirming, prioritizing
  • Ability to manage multiple and changing priorities
  • Ability to work flexible schedule
  • Proficiency in Google & MS Office Suite required
  • Strong verbal and written communication
  • Strong customer service attitude to interact with customers, partners, internal/external parties
  • Approachable and someone who build relationships internally & externally
  • A ‘can do’ attitude, willing to put in the extra effort when needed 
  • Highly organized, detail-oriented, and self-motivated
  • Able to thrive in a high-growth, fast-paced environment
  • Ability to work onsite for this in-person, office-based position in San Mateo, CA required

 

EDUCATION QUALIFICATION  

  •  A bachelor's degree or equivalent combination of education and/or experience desired

 

Depending on specific professional experience and geographical location of individuals, the salary for this position ranges from $120,000 - $130,000/year. Additional wage/bonus/commission and benefit details will be shared during the formal interview process for this full-time employment opportunity.
