The Accounting Associate is a full-time position responsible for providing administrative and clerical services for the accounting and human resource departments. Ensuring these services are completed in a timely and accurate manner to support the effective and efficient operation of the organization.
Primary Accounting Duties and Responsibilities:
· Works with the accounts payable process, including: verification of invoices, purchase orders and packing slips and coding of invoices
· Back-up to complete weekly check run and ACH files
· Answer customers’ calls and respond to inquiries related to transactional questions or account maintenance. Works to resolve problems and communicate outcome to all.
· Apply customer payments
· Process gift cards and maintain inventory
· Greet visitors, answer incoming calls and re-direct calls as appropriate or take adequate messages as required
· Perform administrative support duties of a varied and highly confidential nature for management
· Back-up to Accounts Receivable Specialist to reconcile cash drawers
· Back-up for other admin tasks
o Process Dealer and Organizational Account Applications following established procedures & guidelines; review with management for approval
o Open and distribute incoming mail
· Assist with sales tax exemption documents using Avalara Certcapture
· Perform a full range of administrative duties, including: typing, data entry, computer applications & filing
· Other duties and special projects as assigned by management
Human Resources Duties and Responsibilities:
· Assist with New Hire Orientation: welcome kits, health care packets, safety videos and quizzes
· Create New Employee Folders and file employee documents
· Monthly Anniversary Cards and sympathy/birth cards as needed
· Assist with annual benefits open enrollment
Qualifications:
· Associate’s degree in accounting or one year previous work experience in accounting
· Excellent written and verbal communication skills
· Detail-oriented with excellent organizational skills
· Ability to maintain confidentiality
· Strong work ethic, self-motivating and able to work independently and in a team
· Able to multitask and work in fast paced environment
