GENERAL POSITION DESCRIPTION
The Choice Operations Coordinator will provide comprehensive administrative and operational support for the Choice Neighborhoods Planning Grant. This position maintains accurate project documentation, oversees data entry and management, and ensures efficient project operations. The coordinator will support community engagement efforts, maintain project-related documentation, and handle scheduling and communications while contributing to the overall strategic execution of the grant.
ESSENTIAL JOB REQUIREMENTS
  • Administrative Support 
    • Coordinate all administrative functions, including scheduling meetings, organizing project activities, and managing communication across internal and external stakeholders.
    • Maintain and update project documentation, including meeting minutes, reports, and correspondence, ensuring all records are accurate, organized, and easily accessible.
    • Prepare and distribute regular reports, presentations, and data summaries required for grant compliance and project updates.
    • Provide logistical support for meetings and events, ensuring all arrangements are handled efficiently.
  • Data and Document Management
    • Oversee data entry processes, ensuring accuracy and completeness of all project-related data.
    • Maintain project databases, including participant records, qualitative and quantitative data, and critical performance metrics.
    • Perform regular data audits to ensure consistency and compliance with project requirements, addressing discrepancies promptly.
    • Support the Data & Learning Analyst in managing and organizing data sets, coding qualitative data, and preparing data reports for analysis and decision-making.
  • Community Engagement and Event Coordination
    • Coordinate and facilitate meetings and community events, ensuring alignment with project goals and timelines.
    • Manage communication with community members, residents, and stakeholders, disseminating project updates and ensuring active participation.
    • Assist in the scheduling and organizing of resident engagement activities, including interviews, storytelling sessions, and other community-driven events.
    • Administer incentives (e.g., gift cards) to encourage resident participation, ensuring accurate tracking and reporting of distributed items.
 
QUALIFICATIONS
Education
  • Associate degree or equivalent experience in administrative support, project management, or a related field.
Skills and Experience
  • Demonstrated strength in multi-tasking, organizing, and prioritizing work with solid attention to detail.
  • Excellent communication skills – verbal and written. 
  • Strong interpersonal skills and the ability to thrive in a fast-paced environment, adapting quickly to changing priorities and demands.
  • Proficiency in Dropbox, Google Suite, and Microsoft Suite, particularly Excel/Google Sheets.
  • Demonstrated capability to maintain composure and effectiveness under pressure while managing multiple tasks and deadlines.
