Position Purpose
The Administrative Assistant is a pivotal role dedicated to providing seamless administrative and personal support to our leadership team. This position ensures that the executives' operations run smoothly, efficiently, and with the highest level of discretion, allowing them to focus on strategic priorities and personal commitments.
Essential Job Functions & Responsibilities
Administrative Support
- Execute vital administrative tasks including printing, preparing shipping labels, processing mail, reordering supplies for the CEO, and managing filing systems with precision.
- Assist management with highly sensitive functions such as credit card oversight, document organization, and financial transactions, maintaining absolute confidentiality.
- Act as a crucial communication bridge between the business manager and external contacts, fostering clear and professional interactions.
- Manage all travel arrangements for team members and the Lisinski family, ensuring seamless and stress-free journeys.
- Receive, process, and meticulously track all incoming and outgoing packages to guarantee timely and accurate deliveries.
- Collaborate with household staff and team members to unify personal and business-related tasks for the executives, promoting efficiency and harmony.
- Develop a comprehensive lunch process, overseeing delivery, dining, and cleanliness to support team well-being.
Personal Assistant Support
- Handle personal errands such as dry cleaning, office material procurement, trip packing, and vehicle maintenance—including weekly fueling—to keep the CEO’s personal and professional lives running smoothly.
- Manage daily mail routines: collecting, sorting, scanning, remailing, and distributing documents to relevant team members with precision.
- Create SOPs for the maintenance and preparation of family-owned properties, purchasing construction materials as needed, and ensuring properties are always in excellent condition.
- Maintain an organized and well-stocked workspace by ensuring essentials like coffee, water, soda, pens, highlighters, and sticky notes are always available.
- Schedule and coordinate personal appointments for family members, including designing a comprehensive cosmetic and wellness schedule.
Event & Production Support
- Support the setup and breakdown of internal and external events, often involving travel (approximately 25%), ensuring every detail is flawlessly executed.
- Provide on-site assistance during marketing production days, meeting all executive needs to facilitate smooth operations.
- Aid in onboarding new employees by organizing and hosting celebratory office lunches, fostering a welcoming team environment.
Minimum Education and Experience Requirements
- At least one (1) year of experience as an administrative assistant or secretary, demonstrating proven organizational skills.
- Proficiency in Outlook, Word, and Excel is essential; familiarity with Microsoft Planner, Asana, Canva, PowerPoint, and OneNote is highly preferred.
- Reliable personal transportation and a cell phone are required to meet the demands of this role.
- This is a full-time, in-office position committed to delivering exceptional support and service.
- Exceptional organizational, time-management, and prioritization skills are critical.
- Demonstrates a high level of discretion, integrity, and confidentiality in all tasks.
- Strong written and verbal communication skills in English, with bilingual proficiency in Spanish preferred.
- Ability to anticipate needs proactively and act with resourcefulness and professionalism.
