Position Summary

The Community Programs Coordinator supports the administration and financial management of community-based cultural funding programs administered on behalf of the City of Austin. This role manages both programmatic and financial aspects of multiple cultural grant programs, including applicant and awardee communication, grant platform administration, payment processing, reporting, and internal coordination with finance and external partners. The ideal candidate is highly organized, detail-oriented, and passionate about supporting Austin’s creative ecosystem.


Essential Duties and Responsibilities

  • Track submissions, reporting deadlines, contracts, and compliance requirements for applicants and awardees.
  • Provide ongoing communication and support to applicants and grantees via email and phone.
  • Assist with grant application review, scoring, and panel coordination.
  • Assist with program launches, building application templates and program forms.
  • Coordinate timely payments to grantees according to payment schedules.
  • Verify documentation required for payments, including W-9 forms, certificates of insurance, and awardee contracts.
  • Coordinate with the Long Center finance department and City of Austin on payment processing; assisting with financial reconciliation, incident reporting, and audit support.
  • Send payment notifications and required tax documentation (including 1099 forms).
  • Provide data and reporting for internal stakeholders and external partners according to agreed-upon accounting and auditing standards.
  • Maintain tracking logs and documentation related to grant activity and program outcomes.
  • Assist with management and upkeep of the online grant portal; supporting backend grant platform configuration, program builds, form development, and automation workflows.
  • Provide technical assistance and resources to applicants and awardees.
  • Assist with compliance monitoring, contract management, and policy implementation.
  • Support Create Austin’s broader community engagement and resource development initiatives.
  • Perform other related duties as assigned.


Minimum Qualifications

  • 2+ years of administrative experience and an Associate's Degree; or an equivalent combination of education and experience.
  • Proficiency with Microsoft Office Suite and online software platforms.
  • Experience with grant management systems (such as Submittable) is a plus.
  • Familiarity with accounting or financial tracking systems is preferred.
  • Highly organized and detail oriented with strong communication and interpersonal skills.
  • Ability to manage multiple tasks and deadlines simultaneously.
  • Ability to adapt to evolving priorities and program needs.
  • Experience within or knowledge of Austin’s creative ecosystem is strongly preferred.
  • Spanish language proficiency is a plus.


Work Environment & Benefits

This is a hybrid remote position with an office located on the Long Center campus in Austin, TX. Occasional onsite presence may be required. The starting salary for this role is $45,000/year. In addition to salary, the Long Center offers robust benefits including:
