League One Volleyball (LOVB) is reimagining women's sports. Launched in 2019, our company is a mission-led sports performance, training and media enterprise that will change the game of volleyball in the USA and empower new generations of female athletes.
 
It is a groundbreaking time for volleyball in the US with our historic triple Olympic Gold medals in Women's Indoor, Beach and Sitting Volleyball. Volleyball is already the #1 most played girls'  youth sport. There are 38M current and former players today. Of major sports, it's the only one that is women-first (~90% of players are female). But the volleyball market has been almost entirely missed by traditional sports investors, brands, and media.

JOB DESCRIPTION

Job Summary: The Administrative Assistant, Team Business Operations & Sport provides high-level administrative, operational, and project coordination support to the Vice President of Team Business Operations and the Chief of Sport. This role serves as a critical partner in helping both leaders effectively manage priorities, coordinate cross-functional initiatives, and execute league operations.

The ideal candidate is highly organized, proactive, detail-oriented, and thrives in a fast-paced, evolving environment. Success in this role requires exceptional communication skills, sound judgment, strong organizational abilities, and the capacity to manage multiple priorities while maintaining a high degree of professionalism and confidentiality.


Essential Duties and Responsibilities:

  • Executive & Administrative Support
    • Provide comprehensive administrative support to the Vice President of Team Business Operations and Chief of Sport.
    • Manage complex calendars, schedule meetings, and coordinate priorities across multiple stakeholders.
    • Coordinate domestic travel arrangements, prepare itineraries, and process expense reports.
    • Prepare correspondence, presentations, reports, meeting agendas, and other executive materials.
    • Monitor action items and ensure timely follow-up on key initiatives and commitments.
    • Serve as a primary point of contact for administrative requests across both functional areas.


  • Project & Operational Coordination
    • Coordinate and track cross-functional projects, deliverables, timelines, and key milestones.
    • Maintain project plans, action trackers, and status updates to support organizational priorities.
    • Partner with internal departments and team operators to facilitate collaboration and ensure timely execution of initiatives.
    • Assist in gathering information, preparing reports, dashboards, and recurring operational updates.
    • Support department planning, budgeting, and operational processes as needed.


  • Meeting & Committee Management
    • Coordinate recurring meetings including Team President meetings, functional working groups, committee meetings, and office hours.
    • Prepare agendas, meeting materials, presentations, and supporting documentation.
    • Record meeting notes, document decisions, and distribute action items and follow-up communications.
    • Monitor completion of assigned action items and maintain meeting documentation.


  • League Events & Workshop Support
    • Assist with the planning and execution of league meetings, workshops, and special events.
    • Coordinate event logistics, registration, travel, vendor communication, venue needs, catering, and meeting materials.
    • Support onsite event operations to ensure a high-quality participant experience.
    • Assist with post-event follow-up, documentation, and evaluation.


  • Communications & Documentation
    • Maintain departmental operating manuals, playbooks, templates, policies, and shared resources.
    • Organize and manage files, presentations, and documentation within shared platforms.
    • Assist in drafting and distributing league communications to clubs, team operators, and internal stakeholders.
    • Ensure documentation remains current, organized, and easily accessible.


  • Additional Duties
    • Coordinate information requests from teams and internal departments.
    • Assist with preparing executive reports, presentations, and briefing materials.
    • Identify opportunities to improve administrative processes and operational efficiencies.
    • Support special projects and other initiatives as assigned.


Required Skills/Abilities:

  • Exceptional organizational, planning, and time management skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Proven ability to work independently while effectively collaborating across multiple departments.
  • Demonstrated ability to exercise sound judgment, discretion, and maintain confidentiality when handling sensitive information.
  • Advanced proficiency in Google Workspace, Microsoft Office Suite, and project management or collaboration tools (e.g., Asana, Monday.com, Smartsheet, Airtable, or similar).



Education and Experience:

  • Bachelor's degree in Business Administration, Sports Management or a related field
  • 3+ years of experience in executive administration, operations, project coordination, sports administration, or a related field.
  • Experience coordinating meetings, events, travel, and cross-functional projects involving multiple stakeholders.
  • Experience preparing presentations, reports, and executive-level communications.
