Program Manager, Foundation Relations

ABOUT THE FOUNDATION 

The Lucile Packard Foundation for Children's Health, in partnership with Stanford Medicine and Lucile Packard Children's Hospital, unlocks philanthropy to transform health for children and families in Northern California - and around the world. Through fundraising and grantmaking, the Foundation drives scientific research, innovation, and policy change that will improve care, advance cures, and reform healthcare systems for this and future generations.  

MAIN FOCUS: The Program Manager is a nexus position for the Foundation Relations team. You will lead our prospect research and stewardship programs and connect the dots between our work with Stanford School of Medicine faculty, Hospital clinical teams, and professional foundations as we raise money and awareness for our mission.

LOCATION: Palo Alto, CA (hybrid); the successful candidate for this role will be based in the Bay Area.

WHAT YOU'LL DO... 

The Foundation Relations team engages with local, regional, and national foundations, developing relationships, pursuing grant opportunities, and stewarding gifts and grants received. Our portfolios include new prospects as well as longstanding donors. Foundation Relations partners closely with faculty and staff in child and maternal health programs throughout the Children’s Hospital and the School of Medicine. Our work has significantly increased philanthropic support for a wide array of innovative research, patient care, medical education, patient and family services, and community-based programs. 

Under the direction of the Senior Director, Foundation Relations, you’ll lead the extensive prospect research and donor stewardship programs, pipeline management, faculty support, and donor relations. This includes driving the stewardship of top donors, researching prospects, managing faculty/staff and stakeholder relations (including knowing their funding priorities and interests), communicating with internal teams for knowledge sharing and collaboration, and providing back up donor and administrative support. 

The compensation range for this role is between $72k-$80k. 

YOU'LL BE RESPONSIBLE FOR...

Pipeline Management: 
  • Leading prospect tracking and strategy meetings with the Gift Officers, ensuring movement is made in engaging new prospects and tracking their statuses. 
  • Creating more efficient approaches for achieving our goals, such as using advanced practices with donor and grant databases and writing briefings on an array of key topics and philanthropic opportunities. 
  • Maintaining grants calendar and sharing upcoming RFPs with the Gift Officers, potentially suggesting relevant faculty members.  
  • Helping respond to donors’ requests and gift inquiries when Gift Officers are out of the office and during busy times. 
  • Preparing briefings and agendas for site visits and meetings with faculty and foundation staff. 
  • Assisting in organizing information and invitation lists for stewardship and prospecting events. 
  • Maintaining and regularly updating institutional information for Packard Children’s and Stanford University/Stanford School of Medicine to include in LOIs or proposals. Understanding the guidelines regarding gifts vs. grants and indirect costs/infrastructure charges. 
  • Cultivating knowledge of stakeholders and subject matter experts on other Foundation teams to share knowledge, collaborate, and provide faculty support.  
  • Understanding the Foundation’s fundraising priority areas (cancer, cardiology, mothers and babies, and health equity) to prioritize matching faculty with funding opportunities. 
  • Assisting solicitors with developing proposals as necessary. 
 
Prospect Research: 
  • Identifying and researching prospects and donors, gathering information on philanthropic interest, capability, and inclination in order to drive engagement and inform solicitation strategies. This includes mining the Foundation’s databases and tracking news on foundations and their funding priorities through traditional media outlets as well as social media. 
  • Tracking and keeping records of informational meetings with faculty and staff about their research and programs, relationships with foundations, and emerging funding needs. 
  • Using many sources of information such as faculty profiles, foundations’ websites, donor and grants databases, past proposals, and reports, as well as online prospect research tools, to create a holistic view of faculty members’ areas of expertise and relationships with foundations. 
  • Designing and implementing workflow mapping processes to streamline our prospect research efforts, particularly in Raiser’s Edge database, the shared drive, and project management tools such as Microsoft Planner and Monday.com. 
  • In partnership with the Foundation’s Prospect Development team, conducting and managing research about future Foundation Relations prospects and current donors by monitoring grant opportunity websites, producing prospect reports in short and long formats, and preparing strategic briefings that advance our relationships.  
  • Collaborating with the Prospect Development Team to determine assignments of new prospects according to the prospects’ area of philanthropic interest, as well as project managing prospect research projects together across the Foundation Relations and Prospect Development Teams
  • Collaborating with Advancement Services and the Stanford University School of Medicine’s Research Management Group in preparing documentation for new proposals and awards.    

Stewardship: 
  • Managing the department’s growing stewardship portfolio by documenting stewardship reporting requirements for gifts and grants, scheduling and sending report reminders to faculty and solicitors, and collaboratively drafting, editing, tracking, and submitting narrative reports that fulfill funders’ guidelines. 
  • Developing creative and meaningful recognition for donors and enhance the efficiency and impact of the Foundation Relations stewardship program.

  • Examples can include but are not limited to volunteering at Foundation events like Summer Scamper or other fundraising/stewardship events, participating in Foundation employee resource group, community of practice, or committee meetings, and attending conferences/professional development trainings and sharing findings with the Foundation Relations team and/or other colleagues.

YOU MUST HAVE...
  • An associate degree or higher (or equivalent work experience) and at least three years of relevant experience 
  • Flexibility to work evenings and weekends on occasion and to travel within the Bay Area. Access to reliable transportation. 
  • Advanced online research capabilities. 
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook). 
  • Regular and predictable attendance. 

 IT'S AN ADDED PLUS IF YOU HAVE EXPERIENCE WITH...
  • Fundraising experience, either directly or in a support role. 
  • Proficiency in Raiser’s Edge or other donor database. 
  • Proficiency in InDesign and Adobe Acrobat Suite. 
  • Familiarity with Microsoft Planner, Monday.com, or other project management software. 
  • An understanding of science, particularly biomedical science, and a comfort with communicating with physicians, researchers, and science experts. 
  • A genuine interest in children’s health issues, a strong desire to work in a development environment, and a willingness to learn about the Development Life Cycle (prospect identification—research—cultivation—solicitation—stewardship).
