About the role

The Production Coordinator supports the Production team and senior management in overseeing all aspects of merchandise production, from order placement through shipment. This role ensures accuracy and efficiency across internal workflows, vendor management, inventory tracking, and cross functional collaboration with sales channels, accounting teams, and other internal departments.

What you'll do

  • Lead updates to the internal Production WIP, tracking all new and existing orders from initiation through completion, including maintaining accurate production and blank status in Monday.com and ensuring all packing lists and shipment tracking are uploaded for visibility across all sales channels.
  • Assist the Production team and senior management with placing orders for tour, e-commerce, and retail programs, including scheduling, daily tracking, and updating the Production WIP, while coordinating with all sales channels.
  • Lead efforts to ensure internal COGs and order information in NetSuite are accurate and current.
  • Support resolution of blank stock issues and manage return authorizations as needed.
  • Collaborate with print partners to verify that held inventory is accurate, current, and properly documented.
  • Manage logistics for blank stock shipments across all large scale purchases. Additionally responsible for collecting and submitting blank tracking information from distributors and direct suppliers to print partners throughout the production process.
  • Maintain a comprehensive log of all printed blank samples from each print shop to ensure consistency and quality when orders are transferred between locations.
  • Submit and monitor orders with vendors during high volume periods, ensuring completion and timely delivery.
  • Assist with troubleshooting requests that may arise during production. Assess and adjust priorities based on needs of the business.
  • Proactively identify issues, provide creative solution options and work collaboratively to resolve issues.
  • Maintain communication with all sales channels to ensure that all processes are running effectively and efficiently.
  • Maintain communication with the creative and art team to ensure that all processes are running effectively and efficiently and any art updates get relayed to vendors and updated in Netsuite.
  • Work closely with the company’s finance department to ensure that all necessary financial related purchasing, production, inventory and sales transactions are promptly and accurately captured and recorded.

Qualifications

  • 2+ years of experience in production coordination, merchandise operations, or a related field.
  • Strong understanding of production workflows, timelines, and order lifecycle management.
  • Experience coordinating with vendors, suppliers, and internal teams to meet deadlines.
  • Proficiency with project management tools such as Monday.com and ERP systems like NetSuite.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent attention to detail and accuracy in tracking, reporting, and documentation.
  • Effective written and verbal communication skills.
  • Proficiency in SAGE, ASI and PPAI sourcing platforms preferred.
  • Ability to collaborate cross-functionally with sales, design, sourcing, logistics, and fulfillment teams.
  • Basic understanding of costing, purchase orders, and inventory processes.
  • Experience in merchandise production, including tour, e-commerce, and retail channels, preferred.
  • Ability to problem-solve production issues independently and escalate when necessary.
  • Ability to work in a fast paced environment.
  • Some travel requirements involved.
