As part of our expansion, we are currently looking for a suitably motivated - Executive Assistant - to join our group.

As an Executive Assistant in the Management department, you will play a critical role in directly supporting C-Suite executives by managing their day-to-day operations and serving as a key liaison between leadership and internal/external stakeholders. This permanent, full-time position requires exceptional organisational skills, sound judgment, and the ability to anticipate needs in a fast-paced, high-demand environment. You will enable executives to focus on strategic priorities by overseeing complex calendar management, coordinating high-impact meetings and events, and ensuring the seamless flow of information and communication across the organization.


What You'll Do

  • Provide comprehensive executive support to C-Suite leaders, including calendar, email, and task management.
  • Proactively manage complex, dynamic calendars: schedule, prioritize, and coordinate meetings, travel, and events across multiple time zones.
  • Serve as the primary point of contact between C-Suite executives and internal/external stakeholders, ensuring professional and timely communication.
  • Prepare, edit, and format executive-level documents, presentations, reports, and meeting materials with a high degree of accuracy.
  • Coordinate board meetings, leadership offsites, and other executive-level events, including logistics, agendas, minutes, and follow-up actions.
  • Arrange and manage complex domestic and international travel itineraries, including transportation, accommodations, and expense reconciliations.
  • Track and follow up on key initiatives and action items on behalf of executives, ensuring deadlines and commitments are met.
  • Handle confidential and sensitive information with discretion and maintain a high level of professionalism at all times.
  • Assist with creating and maintaining efficient administrative processes, tools, and systems to support executive productivity.
  • Collaborate with other executive assistants and administrative staff to coordinate cross-functional meetings and company-wide initiatives.
  • Manage and process expenses, invoices, and budget-related documentation in line with company policies.
  • Identify opportunities to improve workflows and anticipate executive needs, offering proactive solutions and support.
  • Perform additional executive and administrative tasks as needed to support the evolving priorities of C-Suite leadership.


Who you are

  • Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role, supporting C-Suite or senior executives.
  • Fluency in English with excellent written and verbal communication skills, including professional correspondence and document preparation.
  • Proven experience managing complex calendars, travel, and logistics for multiple senior stakeholders in a fast-paced environment.
  • Demonstrated ability to exercise discretion and maintain strict confidentiality with sensitive and strategic information.
  • Strong organizational skills with exceptional attention to detail and the ability to prioritize and manage multiple tasks and deadlines.
  • High level of professionalism, poise, and judgment when interacting with executives, board members, clients, and partners.
  • Advanced proficiency with productivity and collaboration tools (e.g., Microsoft Office or Google Workspace, video conferencing platforms, shared calendars).
  • Ability to work independently, take initiative, and anticipate needs with minimal direction.
  • Strong problem-solving skills and adaptability to changing priorities and schedules.
  • Proven track record of supporting senior leaders in a corporate or high-growth environment.
  • Comfort working under pressure and handling urgent issues calmly and efficiently.
  • Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent professional experience.
