Overview:

We’re seeking a Senior Payroll Operations & Tax Specialist to join our growing team! This individual contributor role is ideal for someone with deep payroll expertise who thrives in fast-paced, tech-driven environments. You’ll be responsible for managing end-to-end U.S. and global payroll operations, with a strong focus on tax compliance, audit readiness, and process optimization.

This role will serve as a subject matter expert on all things payroll—working cross-functionally with Finance, People Ops, external vendors, and government agencies to ensure smooth payroll delivery, policy development, and process improvements globally. 

This role is ideally suited for candidates in the Central or Eastern time zones of the US.


Essential Functions & Responsibilities:

The essential functions and responsibilities for this position include but are not limited to, the following. Other duties may be assigned as needed. 

  • Process and manage end-to-end semi-monthly, monthly, and off-cycle payrolls across multiple countries with high accuracy and timeliness.
  • Maintain and update employee data in payroll system, Rippling.
  • Audit payroll data for compliance with local laws, tax codes, and company policies.
  • Reconcile payroll reports and ledgers; manage payroll-related journal entries in partnership with Finance.
  • Perform regular payroll reconciliations, including auditing benefit deductions, taxes, and withholdings to ensure accuracy and compliance.
  • Manage all payroll tax filings (federal, state, local, and international as applicable).
  • Act as the primary point of contact for all government notices, including unemployment, wage garnishments, and tax agency correspondence.
  • Ensure timely filing and resolution of tax-related issues and oversee mail processing tied to regulatory agencies.
  • Prepare and support payroll audits (internal and external), ensuring documentation is complete and accurate.
  • Identify and implement payroll process improvements to increase efficiency and accuracy.
  • Partner with HRIS and People Ops on payroll system integrations, testing, and upgrades.
  • Lead and support policy creation, documentation, and training related to payroll operations, compliance, and employee communication.
  • Partner closely with HR, Legal, Finance, and external vendors on compliance, reporting, and policy development.
  • Act as primary contact for employee inquiries related to pay, taxes, and other payroll matters in a timely and clear manner.
  • Provide payroll insights and reporting as needed for Finance and strategic planning.

Education & Experience:

  • 5+ years of multi-state U.S. payroll experience, with at least 2 years handling international payroll.
  • Deep knowledge of payroll tax regulations, including W-2, W-4, 941s, garnishments, and unemployment.
  • Experience working in the tech industry or high-growth, fast-paced environments.
  • Strong analytical and Excel skills; familiarity with payroll platforms such as Rippling
  • Exceptional attention to detail and strong problem-solving skills.
  • Comfortable working independently, with the ability to manage competing priorities and tight deadlines.
  • Experience supporting payroll audits and preparing documentation for internal and external stakeholders.
  • Excellent communication skills and a service-oriented mindset.

Supervisory Responsibility:

  • This job has no supervisory responsibilities

Compensation Range:

  • $95,000 to $100,000 + DOE (plus commissions when applicable)
