Job Summary
The Administrative Assistant plays a vital role in supporting daily office operations, executive coordination, and company communications to ensure efficiency and alignment with business objectives. This position is responsible for maintaining an organized and well-functioning office environment, managing administrative tasks, assisting leadership with scheduling and correspondence, and serving as a liaison between the company and external partners. As a key point of contact for both internal and external stakeholders, this position requires strong organizational, communication, and problem-solving skills. Essential Responsibilities
- Serve as the first point of contact for clients, visitors, and vendors, ensuring a professional welcoming environment.
- Answer and direct phone calls, respond to emails, and manage general office correspondence.
- Maintain office organization, ensuring common areas, conference rooms, and workspaces are clean and properly stocked with necessary supplies.
- Assist with managing the Chief Executive Officer's calendar, scheduling meetings, appointments, and conference calls while ensuring minimal conflicts.
- Take meeting notes and follow up on action items to ensure completion.
- Provide administrative support such as preparing reports, creating documents, and handling confidential materials.
- Assist in planning and coordinating team meetings and company-wide events, including logistics, catering, and communication.
- Monitor and order office supplies, ensuring availability while managing costs effectively.
- Coordinate with vendors and suppliers to ensure timely delivery of office needs.
- Track expenses and work within budgetary constraints for office purchases.
- Communicate and collaborate with local municipalities, counties, and cities on relevant projects.
- Assist in preparing and submitting documentation required for permits, contracts, and project-related approvals.
- Oversee general office tidiness, occasionally assisting with light cleaning or organizing as needed.
- Ensure office equipment, including printers, computers, and conference room technology, is in working condition.
- Other duties as assigned by manager or designee.
What We're Looking For
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as an administrative assistant or in a related role.
- Excellent verbal and written communication abilities.
