POSITION SUMMARY
A Campus Administrator at Menlo Church is a pivotal role, serving as the primary point of contact for inquiries, delivering exceptional customer service, and connecting individuals with the appropriate staff. This position is responsible for managing key administrative and office functions, including overseeing general administrative duties and ensuring the efficient supply and logistical support for the campus & your Campus Pastor. Furthermore, the role involves recruiting, equipping, and mentoring volunteers, recognizing their unique gifts. We seek a candidate who excels in balancing a task-oriented approach with strong interpersonal skills, fostering positive relationships, and actively working to make each campus warm and welcoming. The Campus Administrator embodies our commitment to community engagement in person, over the phone, and via email.
ESSENTIAL FUNCTIONS
- Recruit and equip volunteers for ministry roles within the church, recognizing their unique talents and gifts. Mentor and coach them through the leadership pipeline, providing support through one-on-one and group interactions.
- Perform general administrative duties, including answering phones, managing correspondence, ordering supplies, filing documents, and coordinating calendars.
- Act as the primary liaison between the San Mateo Campus and Central Team, responsible for writing and editing communication materials for the Campus team, including newsletters and creative content
- Participate in regular meetings with other Campus Administrators, collaborate on projects, share best practices, and provide mutual support.
- Assist with coordinating & planning campus events and services that serve our local neighborhood.
- Assist the Campus Pastor with a variety of administrative tasks, such as managing calendars, scheduling meetings & interviews, budgeting, processing invoices, and routing communications to the appropriate contacts.
- Oversee the purchasing and restocking of supplies.
- Ensure that church data systems are current and accurate, serving as a resource for San Mateo staff regarding PCO usage and support.
- Manage multiple projects simultaneously, prioritize tasks effectively, and meet deadlines consistently.
- Foster positive working relationships by actively embodying and championing our staff values of teamwork, humility, hope, and resilience.
- Take on additional duties and special projects as assigned.
QUALIFICATIONS
Education/Experience
- High school diploma or equivalent work experience in administrative field
Preferred Experience
- Demonstrated administrative experience, preferably in a church or nonprofit organization.
- Strong organizational skills with the ability to manage multiple projects, prioritize effectively, and meet deadlines.
- Excellent written and verbal communication skills with attention to clarity, tone, and detail.
- Highly proficient in Google Workspace; experience with Asana/MailChimp/PCO preferred
- Experience coordinating events, schedules, or logistics.
- Ability to handle confidential information with discretion and professionalism.
- Strong interpersonal skills with the ability to build positive relationships across teams and with congregants.
- Self-motivated, dependable, and proactive in identifying needs and solving problems.

Work Conditions
- This job typically operates in a professional office or church setting with standard office equipment such as computers, printers, filing cabinets, and telephones.
- This position will typically work Sunday-Thursday as needed.
- This role is Part Time.
