Position Summary

The Central Executive Administrator plays a vital role in supporting our church's Directional Leadership Team, ensuring the central office operations run with exceptional excellence, efficiency, and hospitality. This individual is a highly organized, proactive, and discreet leader who excels at managing time, coordinating people, and creating a welcoming, professional environment that reflects our mission and vision. They also serve as the exemplar for all other administrative roles within the organization. This role requires a faithful heart for ministry, a passion for detail, and a commitment to serving our leaders and staff so they can focus on reaching the Bay Area with the Gospel.


Essential Functions


Excellence in Executive Support & Time Management

  • Manage complex calendars, scheduling meetings, appointments, and travel arrangements for the Directional Leadership Team.
  • Serve as the primary point of contact and gatekeeper for the Directional Leadership Team, filtering and prioritizing incoming communications and calendars to optimize their focus and time.
  • Prepare and organize materials for Directional Leadership Team meetings, including agendas, reports, and presentations, and accurately record and distribute meeting minutes and follow-up action items.
  • Proactively anticipate the needs of the Directional Leadership Team and provide administrative support that ensures peak productivity.
  • Handle confidential and sensitive information with the utmost discretion and integrity.
  • Managing additional duties and responsibilities as assigned by the Directional Leadership team.

Office Management & Operational Excellence

  • Oversee the daily operations of the central church offices, ensuring a clean, organized, functional, and productive environment.
  • Manage all office supplies and equipment, anticipating needs and ordering as required, while adhering to budget guidelines.
  • Maintain and organize physical and electronic file systems, ensuring easy access and compliance.
  • Coordinate and manage vendors and contractors for office services (e.g., cleaning, maintenance, IT support).
  • Develop and implement streamlined administrative policies and procedures to improve efficiency across the central office.

People Management & Hospitality

  • Serve as the Director of First Impressions for all visitors to the central office, providing a warm, professional, and genuinely hospitable welcome that reflects the love and hope of our mission.
  • Manage and coordinate communication flow between the Directional Leadership Team and other department heads, ensuring clear and timely dissemination of information that reflects the tone and posture of leadership..
  • Serve as liaison with the Board of Elders (Session), assisting in administrative tasks, events, ministry activities, and onboarding for new members.
  • Recruit and equip volunteers for ministry roles within the church. 

Event & Project Management

  • Assist in coordinating internal staff events, celebrations, and retreats, managing logistics and creating an atmosphere of connection and appreciation.
  • Special events include, but are not limited to: Monthly All-Staff Meetings, Volunteer Appreciation, Staff & Family Christmas Party, Staff & Family BBQ/Picnics and Easter Celebrations, New Elder Orientations and Onboarding.

Qualifications

  • Bachelor Degree and/or proven experience (3+ years) in an executive administrative or office management role, preferably in a fast-paced environment.
  • Demonstrated excellence in time management, organizational skills, and attention to detail.
  • Exceptional written and verbal communication skills.
  • Proficiency in Google Workspace and Asana. 
  • A proactive, problem-solving mindset with the ability to handle multiple tasks and deadlines gracefully.
  • A servant-hearted attitude with a high capacity for hospitality and professionalism.
  • Ability to work in a discreet manner. Maintaining privacy and confidentiality is a must.

Work Conditions

  • Days of work are Monday-Friday with occasional weekend or evenings as needed to support the DLT.
  • Able to be physically fit to perform a variety of tasks, including lifting and moving objects of 20lbs. 
  • This job operates onsite at an office location in a church setting with chapel, storage, & classrooms. The main location will be the Menlo Park central offices, with occasional presence required at other campuses.

The pay range for this role is:

30 - 40 USD per hour (Menlo Park)
