Intake Coordinator

The Intake Coordinator at Momentum Behavior Services plays a crucial role in ensuring a seamless experience for clients and their families from initial contact through ongoing service delivery. This position involves coordinating client intake processes, managing client relationships, and supporting administrative operations to enhance client satisfaction and organizational efficiency.


Key Responsibilities:

Client Intake and Onboarding:

  • Serve as the primary point of contact for prospective clients and families.
  • Conduct initial consultations and guide clients through the intake process, ensuring all necessary documentation and information are collected.
  • Facilitate communication between clients, families, and clinical staff to ensure a smooth transition into services.

Ongoing Client Support:

  • Engage in regular contact with clients to address questions, concerns, and service-related inquiries.
  • Monitor client satisfaction and identify areas for service improvement.
  • Maintain annual consent documentation and ensure the return of all documentation. 

Administrative Duties:

  • Manage client records and ensure that all documentation is up-to-date and compliant with privacy and regulatory requirements.
  • Assist in billing and insurance-related tasks, helping clients understand their benefits and financial responsibilities.
  • Coordinate meetings and communications between clients and clinical staff as needed.

Collaboration and Teamwork:

  • Collaborate with BCBAs, therapists, and other team members to ensure cohesive service delivery.
  • Participate in team meetings to update on client feedback and discuss ways to enhance client experience.


Quality Improvement:

  • Gather and analyze client feedback to contribute to continuous quality improvement initiatives.
  • Assist in developing and implementing policies and procedures to improve client services.

Qualifications:

  • Bachelor’s degree in psychology, social work, business administration, or a related field preferred.
  • Experience in client services, healthcare, or a related field, preferably within an ABA or behavioral health setting.
  • Strong interpersonal and communication skills, with the ability to build rapport with clients and families.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Google Suite and experience with electronic medical record systems.
  • Ability to handle sensitive and confidential information with discretion.
  • Problem-solving skills and the capacity to manage multiple tasks efficiently.

Working Conditions:

  • Typically works in an office environment with regular communication via phone, email, and in person.
  • Standard work hours with occasional requirements for evening or weekend availability based on client needs.
  • Ability to work across time zones and locations
