
Role Title: Team Assistant – UK
Location: London Office (Onsite, near Blackfriars)
Contract Type: Part Time (3 days per week, or equivalent – flexible on arrangement)
About The Position:
As a Team Assistant - UK, you will play a crucial role in ensuring the smooth functioning of our London office and team. Reporting directly to the Head of UK, you will act as a central point of coordination for the team, ensuring seamless day to day operations.
This is a varied role combining team support, office coordination, and operational support, with scope to grow depending on the candidate’s strengths. Responsibilities will include a range of administrative support across meetings, events and operations. In addition, you will also assist with maintaining our workplace environment as a safe, well-maintained, and fully operational base for our growing team. You will have an eye for quality and help to continuously improve internal processes and standards.
The ideal candidate will demonstrate exceptional organisational skills and be an excellent communicator. They will have the confidence to be proactive, positive and calm under the pressure of managing competing priorities.

Key Responsibilities:
1. Meeting Organization:
- Schedule and coordinate meetings with internal teams and clients.
- Prepare and distribute meeting agendas and materials.
- Ensure meeting rooms are prepared with necessary equipment and supplies.
- Take minutes during meetings and follow up on action items.
2. Administrative Support:
- Manage office supplies and inventory.
- Handle incoming and outgoing correspondence.
- Assist with purchasing, invoice collection and processing. This may include maintaining financial records.
- Assist with travel arrangements and itineraries.
- Maintain and update company records, databases, and filing systems.
- Assist the Head of UK with administrative tasks required day to day.
3. Process Development Support:
- Support in the documentation of internal processes and procedures.
- Assist in reviewing and updating the company’s operational processes.
- Help ensure process documents are organized, accurate, and accessible.
- Collaborate with the HR team to streamline onboarding and employee lifecycle processes, including assistance with these processes for new starters into our team.
4. General Office Administration:
- Greet and assist visitors to the office.
- Maintain a clean and organized office environment.
- Coordinate with the property management the proper maintenance of the office.
- Monitor compliance with office regulations and standards.
- Proactively identify opportunities to improve workplace efficiency.
Experience and Qualification
- Basic education and vocational training are required; a university degree will be highly valued.
- Minimum of 1 years of proven experience as an administrative assistant or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Excellent organizational and time-management skills.
- Strong attention to detail and problem-solving abilities.
- Ability to work under time pressure.
- Fluent English speaker with exceptional communication and interpersonal skills. Spanish or German language proficiency is a bonus.
- Ability to work independently and as part of a team.
- High degree of professionalism and confidentiality.
- Experience with scheduling software and tools.
