About the role

We are looking for a Payroll and Equity Coordinator to own the accounting side of two areas that most companies split across departments: equity plan administration and payroll accounting. You will run our equity grant process end to end in Carta, own the general ledger posting and reconciliation of every payroll, and bring analyst-level review to the reconciliations that support our month-end close and audit readiness.

This is a hands-on role for someone who has worked both sides: you understand how a stock option exercise becomes taxable income in payroll, and how a payroll register becomes a journal entry that has to tie out. You will be the person who makes sure the cap table, the payroll system, and the general ledger all agree.

What you'll do

Equity administration

  • Run the equity grant process: intake from HRIS flags and offer letters, draft grants in Carta, support board consent routing with outside counsel, and confirm acceptance and recordkeeping.
  • Process exercises, terminations, and cancellations, including vested and unvested calculations and post-termination exercise windows.
  • Own the recurring equity reconciliation across the HRIS, Carta, and source documents, and drive exceptions to resolution.
  • Bridge equity taxable events into payroll: compute imputed income and withholding for exercises, vests, and dispositions, and make sure they flow into the payroll system and the W-2 correctly.

Payroll and benefits accounting

  • Own GL posting of every payroll: prepare the journal entries from payroll registers, maintain the account mapping, and tie posted entries back to source reports.
  • Prepare monthly reconciliations of the payroll balance sheet accounts: clearing, employee receivables, benefit withholdings, accrued payroll, and payroll tax liabilities.
  • Reconcile benefits monthly: carrier invoices to enrollment to employee deductions, and clear aged balances in benefit-related accounts.
  • Maintain the month-end wage accrual and reversal process.

Analyst review

  • Assemble the monthly reconciliation package with support, aging, and exception explanations for reviewer and management sign-off.
  • Prepare payroll and benefits flux analysis versus prior period and budget, and explain movements.
  • Support the stock-based compensation entry with grant, forfeiture, and modification data from Carta.
  • Support audit requests and process documentation as we build toward audit and IPO readiness.

Qualifications

What You Bring

  • 3+ years of combined experience across payroll accounting and equity plan administration, ideally at a venture-backed or late-stage private company.
  • Hands-on experience with a cap table platform (Carta strongly preferred) and a modern payroll/HRIS platform (Rippling a plus).
  • Working knowledge of equity taxation: ISO vs NSO treatment, disqualifying dispositions, RSU withholding, and Form 3921 reporting.
  • Solid GL accounting fundamentals: journal entries, balance sheet reconciliations, and accruals. NetSuite experience a plus.
  • Advanced Excel skills and comfort working across systems and reconciling large data sets.
  • High attention to detail, discretion with sensitive compensation data, and the judgment to escalate early.

Nice to Have

  • CEP (Certified Equity Professional) coursework or designation, or CPP (Certified Payroll Professional).
  • Experience supporting a first financial statement audit or IPO readiness work.
  • Experience with multi-state payroll tax and benefits carrier reconciliations.
