We are seeking a Medical Administrative Specialist to support our physicians and administrative team in delivering an exceptional patient experience.

This is not a passive front desk role. The ideal candidate takes initiative, anticipates needs, and takes pride in maintaining an organized, efficient, and welcoming clinical environment. This position is primarily administrative, with hands-on clinical support responsibilities as needed.

Work Schedule: Monday through Friday, 745AM-430PM, with an hour break for lunch.

Core Responsibilities:

Patient Experience & Front Desk Oversight

  • Greet and assist patients in a professional and welcoming manner.
  • Oversee appointment scheduling, reminders, and calendar management to ensure accuracy and efficiency.
  • Manage prescription requests, referrals, and patient communications in a timely and organized manner.
  • Prepare patient charts and ensure complete, accurate documentation.
  • Maintain confidentiality and compliance with privacy regulations.
  • Maintain an orderly, polished reception area and workspace.
  • Coordinate closely with physicians and team members to support seamless patient care.
  • Support onboarding and training of new administrative staff as needed.

New Patient Enrollment & Coordination

  • Guide prospective patients through membership enrollment, billing structure, and practice philosophy.
  • Communicate clearly and professionally with potential new members, ensuring timely follow-up.
  • Register patients within billing and EMR platforms, confirm documentation, and request prior medical records.
  • Maintain and communicate with the patient waitlist as needed.

Clinical Support (Training Provided)

  • Collect vital signs, room patients, and prepare exam rooms.
  • Perform EKGs, blood draws, and point-of-care testing as needed (training provided).
  • Process and document laboratory results accurately.
  • Maintain exam room, lab, and office supply organization in coordination with the practice manager.
  • Provide general clinical support to physicians and PAs as appropriate.

Qualifications

  • Previous experience in medical administration, clinical support, or a related field preferred.
  • Medical students or individuals with a strong interest in healthcare are encouraged to apply.
  • Strong organizational skills and exceptional attention to detail.
  • Clear, professional written and verbal communication.
  • Demonstrated initiative and ability to work independently in a structured environment.
  • Professionalism, discretion, and sound judgment in a small-team setting.
  • Willingness to learn clinical support skills.

Compensation & Benefits

Starting compensation: $23–$28 per hour, depending on experience.
Additional compensation growth is available based on demonstrated performance, responsibility, and tenure.
