Payroll & HR Operations Specialist

About Us

Arlo is building Canada's leading partnership-focused group of physiotherapy and musculoskeletal clinics. We partner with exceptional clinic owners to build on what makes their clinics successful - their people, local reputation, and commitment to outstanding patient care.

Our approach combines the strength of local clinics with the support of a broader team. We provide centralized expertise in finance, HR, recruiting, marketing, and technology, giving clinic leaders more time to support their teams, care for patients, and grow their practices. Each clinic retains its local identity, culture, and clinical autonomy.

Together, we're creating a network where clinicians can build rewarding careers, clinic owners can shape their next chapter, and patients can access exceptional care.

About the role

You will own payroll and support HR operations across our growing clinic network. Approximately half your time will focus on semi-monthly payroll for clinicians on variable compensation, hourly clinic staff, and salaried employees across multiple locations, entities, and provinces. The other half will cover onboarding, offboarding, benefits, employee records, and leave administration. You’ll be a friendly, approachable resource for our people, answering questions with patience and care and helping them feel supported. You'll also strengthen our processes and controls and bring new clinic partners onto Rippling.

What you'll do

Payroll cycles

  • Run semi-monthly payroll end to end in Rippling across multiple entities and provinces
  • Process new hires, terminations, rate and status changes, deductions, adjustments and off-cycle runs
  • Review and release each run, resolving discrepancies before pay date; produce ROEs, T4s and year-end filings

Commission and variable pay

  • Prepare and upload clinician commission inputs into Rippling each cycle using our commission workbook
  • Validate workbook outputs against clinic billings and resolve discrepancies before each payroll run
  • Maintain the workbook and document calculations clearly so clinicians can understand their pay

Hourly staff and time

  • Review timesheets, overtime, statutory holiday pay and shift coverage before each run
  • Apply BC and Alberta employment standards
  • Proactively resolve missing or unusual time entries with clinic managers

HR operations

  • Help administer onboarding and offboarding: Rippling setup, final pay and ROEs
  • Administer group benefits, including enrolment, changes, employee questions, and coverage termination
  • Maintain employee records and personnel files
  • Administer vacation and statutory leaves, and produce headcount, turnover and labour cost reporting

Compliance and new clinic partnerships

  • Manage payroll remittances and reporting, including CRA source deductions, BC Employer Health Tax and associated-employer exemption allocation, WorkSafeBC, and WCB Alberta
  • Configure Rippling for payroll: pay groups, earnings and deduction codes, pay periods and payroll rules
  • Onboard new clinic partners onto Rippling: understand their existing compensation arrangements, configure them in the system, and transition staff onto our semi-monthly payroll schedule and vacation policies
  • Run parallel payroll through each transition and own the first accurate, on-time payroll
  • Partner with the Controller on payroll-to-GL reconciliation, accruals, year-end and audits

What we're looking for

Required

  • 5+ years of Canadian payroll, including full-cycle ownership
  • Commission or other variable pay, including validating it before a run
  • Hourly and time-and-attendance, including overtime and statutory holiday pay
  • HR administration: onboarding, benefits enrolment and employee records
  • Strong knowledge of BC employment standards and proficiency in Excel
  • Comfort owning deadlines, applying established policies consistently, and identifying opportunities to improve processes

Nice to have

  • PCP or PLP designation, and direct Rippling experience
  • Multi-entity, multi-location or multi-province payroll, and Alberta standards
  • Experience integrating new clinic partners or supporting a payroll or HR system migration
