Position Title: Field Services Operations Specialist

Position Location: Remote - work from anywhere in the United States. Must be located near a major airport.

Travel Requirements: Up to 15% domestic travel. Must have a valid driver’s license and ability to rent vehicles.


JOB SUMMARY

The Field Services Operations Specialist supports the Field Services Operations function with a primary focus on workforce strategy execution, staffing visibility, recruiting operations coordination, reporting, and SkillBridge program support. This role provides direct operational support to the FS Associate Director - Ops & Personnel and helps convert department strategy into consistent, measurable execution across programs.


This person partners closely with Field Services leadership, program-level stakeholders, HR, recruiting, and internal operations partners to maintain accurate staffing data, coordinate hiring workflows, prepare recurring reports, and standardize operational processes that support program delivery. The role is intended to improve visibility, follow-through, and execution discipline for headcount planning, workforce reporting, recruiting operations, and SkillBridge administration.


The Field Services Operations Specialist will operate with a high degree of ownership in managing recurring deliverables, coordinating follow-up actions, identifying risks, and escalating decision needs as appropriate. This person will communicate and operate in line with organizational goals and values, departmental objectives, and the priorities established by Field Services Operations leadership.


The Field Services Operations Specialist will receive limited direction on day-to-day work and general instruction on new projects, tasks or assignments. Will execute and assist team leadership on projects, tasks or assignments of complex scope. Will work independently or under limited supervision.

This person will communicate and operate in line with organizational goals and values, as well as departmental objectives.


ESSENTIAL FUNCTIONS

Field Services Operations Support (35%)

  • Support daily execution of Field Services Operations priorities through recurring reporting, tracker maintenance, action item follow-up, and coordination of operational deliverables
  • Maintain workforce planning files, staffing visibility trackers, program-level headcount support tools, and other operational control documents used by Field Services leadership
  • Assist in translating program staffing inputs, hiring needs, and execution risks into organized summaries for FS Associate Director and leadership review
  • Support standardization of recurring operational workflows, templates, communication routines, and department-level reporting cadences
  • Track follow-up items from workforce, recruiting, SkillBridge, and operations meetings to ensure ownership, due dates, and next steps remain visible


Workforce Planning & Reporting (25%)

  • Maintain recurring staffing reports related to active headcount, open requisitions, pending starts, projected starts, and near-term staffing gaps
  • Prepare weekly, monthly, and quarterly reporting materials for leadership review, including workforce status summaries, program staffing updates, and key manpower indicators
  • Validate workforce-related inputs across reports, trackers, dashboards, and source files to maintain accuracy and reduce conflicting information
  • Support development and upkeep of dashboards, Smartsheet tools, Excel workbooks, and reporting formats that improve visibility into Field Services manpower needs
  • Identify aging or incomplete data, missing program inputs, and inconsistent reporting practices; coordinate follow-up to resolve gaps


Recruiting Operations Coordination (20%)

  • Track requisition activity, candidate stage movement, interviews, offers, approvals, and pending starts across Field Services programs
  • Coordinate with recruiting, hiring managers, program leaders, and Field Services leadership to support timely workflow movement and clear communication of hiring priorities
  • Monitor aging items, delayed approvals, missed handoffs, and process bottlenecks; escalate concerns and recommended actions to the FS Associate Director as needed
  • Support consistency in candidate evaluation, interview documentation, routing, and hiring workflow execution for Field Services roles
  • Assist with preparation of recruiting summaries, open requisition reports, candidate pipeline updates, and offer/start tracking materials


SkillBridge Program Support (10%)

  • Maintain SkillBridge pipeline, applicant, participant, placement, and conversion tracking for Field Services
  • Support coordination of candidate timelines, projected availability, placement opportunities, onboarding actions, and participant progress updates
  • Assist with recurring reporting on future SkillBridge starts, pipeline activity, conversion outcomes, and program support needs
  • Coordinate follow-up with recruiting, Field Services leaders, and program stakeholders to maintain visibility on SkillBridge participant status and placement readiness


Process Improvement & Administrative Coordination (10%)

  • Maintain action logs, meeting notes, follow-up items, recurring operating cadences, and department-level coordination materials
  • Support the development and maintenance of templates, workflow documentation, job aids, standard reporting formats, and process maps
  • Identify opportunities to improve efficiency, visibility, and execution discipline across Field Services Operations
  • May assist in strategic planning efforts, leadership preparation materials, workforce initiative tracking, and other Field Services Operations priorities as needed


Completion of Assigned Tasks and Deliverables on Time and on Budget

Performs Other Related Duties as Assigned


POSITION REQUIREMENTS (INTERMEDIATE LEVEL FOR ALL THE FOLLOWING)

  • Knowledge of business operations, workforce coordination, reporting, and administrative support practices
  • Knowledge of recruiting lifecycle processes, hiring workflows, candidate tracking, or applicant tracking systems preferred
  • Knowledge of field service, construction, commissioning, staffing, engineering, or mission critical environments preferred
  • Knowledge of the Department of Defense SkillBridge program, military transition programs, or veteran employment initiatives preferred
  • Skilled in completing assignments accurately and with strong attention to detail
  • Skilled in maintaining accurate data, reports, trackers, dashboards, and recurring deliverables
  • Skilled in Excel, Word, Outlook, PowerPoint, Teams, and related Microsoft Office tools
  • Ability to learn and support department tools such as Smartsheet, applicant tracking systems, workflow tools, dashboards, and client or industry-specific management software
  • Ability to work successfully in a remote environment through effective communication, organization, self-motivation, proactiveness, and follow-through in a distraction-free workspace
  • Ability to analyze data, prepare documents, summarize status, and communicate issues clearly to technical and non-technical audiences
  • Ability to build and maintain effective working relationships with Field Services leadership, recruiting, HR, program stakeholders, and external partners as needed
  • Ability to work successfully as a member of a team and independently with limited day-to-day direction on established processes
  • Ability to manage multiple priorities simultaneously, work under pressure, and meet close deadlines
  • Ability to identify issues, recommend actions, and escalate decision needs appropriately

TRAVEL / RELOCATION REQUIREMENTS

  • Must have a valid driver’s license and ability to rent vehicles.
  • Up to 15%, this may include travel to any or all 50 US states.
  • Must be located near a major airport.

EDUCATION / EXPERIENCE REQUIREMENTS

  • Bachelor's degree in Business, Operations, Human Resources, Project Management, or related discipline

OR

  • Two years of additional relevant experience in lieu of degree

PLUS

  • Minimum three years of experience in operations support, staffing coordination, recruiting operations, workforce planning support, reporting, project coordination, or similar business support functions
  • Experience supporting field service, construction, engineering, commissioning, staffing, or mission critical environments preferred
  • Experience supporting remote teams and recurring operational reporting preferred
  • Experience with Smartsheet, applicant tracking systems, dashboards, or workforce reporting tools preferred
