Role Overview

The Sales Operations & Deal Desk Specialist is responsible for managing the end-to-end sales administration process, ensuring customer quotes, pricing, contracts, order documentation and billing workflows are completed accurately, efficiently and within agreed timeframes.

Working closely with Sales, Account Management, Subject Matter Experts (SMEs), Finance, Customer Success and Operations, this role provides essential commercial and administrative support across DTiQ’s customer base and product portfolio.

The successful candidate will take ownership of the quoting and deal administration process, ensuring sales opportunities progress smoothly from initial requirements through to quote preparation, customer acceptance, contract execution and billing handover.

This is a hands-on, execution-focused role requiring strong attention to detail, commercial awareness, initiative and the ability to work autonomously. The individual must be comfortable managing multiple requests, following established processes, identifying gaps and proactively driving tasks through to completion without constant supervision.

Key Responsibilities

1. Sales Quoting & Commercial Administration

  • Prepare, review and issue accurate customer quotes for hardware, software subscriptions, SaaS products, services, installations and ongoing support.
  • Work with Sales, Account Managers and SMEs to understand customer requirements, product configurations, quantities, pricing and deployment needs.
  • Apply approved pricing structures, discount schedules, commercial terms and pricing rules.
  • Validate quote accuracy, including hardware, recurring revenue, one-off charges, subscription terms, contract duration and payment arrangements.
  • Identify pricing discrepancies, non-standard requests or margin concerns and escalate them for approval before issuing quotes.
  • Manage quote revisions, renewals, amendments and customer requests for updated pricing.
  • Ensure quotes are delivered within agreed turnaround times and proactively follow up on outstanding information or approvals.
  • Maintain consistent quoting standards across products, customers and regions.

2. Salesforce CRM & Deal Desk Management

  • Manage quoting and sales administration activities within Salesforce, ensuring opportunities, quotes, products, pricing and associated records are accurate.
  • Support Sales and Account Management teams with opportunity updates, quote generation, amendments and administrative requirements.
  • Ensure customer records, account details, product selections and commercial information are complete and up to date.
  • Track quote status, pending approvals, contract progression and outstanding actions.
  • Maintain clear documentation and an audit trail for pricing decisions, approvals and customer commitments.
  • Identify opportunities to improve Salesforce workflows, templates, data quality and sales administration processes.

3. DocuSign & Contract Administration

  • Prepare and issue customer agreements, statements of work (SOWs), order forms, renewals and related documentation through DocuSign.
  • Ensure the correct documents, pricing, customer details, authorised signatories and commercial terms are included before sending.
  • Coordinate with Sales, Finance, Legal and relevant internal stakeholders to resolve documentation gaps.
  • Monitor signature progress, follow up on outstanding agreements and escalate delays where required.
  • Maintain accurate records of executed contracts and ensure final documents are stored in the appropriate systems.
  • Support contract amendments, renewals and other customer documentation requirements.

4. Billing & Order Administration

  • Coordinate billing setup and administration following quote acceptance, contract execution and order confirmation.
  • Work with Finance to ensure customer billing details, purchase orders, subscription fees, hardware charges, payment terms and invoicing requirements are accurate.
  • Verify that commercial agreements and executed SOWs align with the information provided for billing.
  • Support recurring revenue setup, subscription changes, renewals, billing amendments and customer account updates.
  • Identify and resolve discrepancies between quotes, contracts, orders and billing records.
  • Ensure relevant information is handed over to Finance, Logistics, Operations and Customer Success to support delivery and customer onboarding.

5. Internal Coordination & Stakeholder Support

  • Act as a central point of coordination between Sales, Account Management, SMEs, Finance and Operations for quoting and deal administration.
  • Gather technical and commercial inputs required to prepare accurate quotes and customer documentation.
  • Proactively chase outstanding information, approvals and actions rather than allowing requests to stall.
  • Ensure stakeholders have visibility of quote status, contract progress, billing requirements and outstanding dependencies.
  • Support customer renewals, upsell opportunities, hardware deployments and changes to existing customer agreements.
  • Maintain clear communication and ownership from initial request through to completion and handover.

6. Process Improvement & Operational Execution

  • Identify inefficiencies, bottlenecks and recurring errors across quoting, contracting and billing workflows.
  • Recommend and implement improvements to templates, processes, documentation and system usage.
  • Maintain trackers and reporting to provide visibility of quote volumes, turnaround times, outstanding approvals and contract execution.
  • Develop and maintain standard operating procedures to support consistency and scalability.
  • Take ownership of issues and drive them to resolution, escalating only when necessary.
  • Ensure commercial and customer documentation is accurate, complete and managed in accordance with internal controls.

Required Skills & Experience

  • Previous experience in Sales Operations, Deal Desk, Sales Administration, Commercial Operations or a similar role.
  • Practical experience using Salesforce CRM, particularly opportunities, quoting, product records and commercial data.
  • Experience managing DocuSign workflows, including preparing, issuing, tracking and completing customer agreements.
  • Strong understanding of customer quoting, pricing structures, discounts, approvals and commercial documentation.
  • Experience supporting billing administration, purchase orders, order processing or finance handovers.
  • High attention to detail and a strong commitment to data accuracy.
  • Excellent organisational skills and the ability to manage multiple competing priorities.
  • Strong written and verbal communication skills, with the confidence to work across multiple departments.
  • Demonstrated initiative, accountability and the ability to work independently.
  • A proactive approach to problem-solving, follow-up and process improvement.
  • Strong Microsoft Excel and general business systems capability.

Desirable Experience

  • Experience in a technology, SaaS, hardware or managed services business.
  • Familiarity with recurring revenue models, subscription billing, annual renewals and multi-year contracts.
  • Experience with product catalogues, pricing matrices, discount approval processes and sales quoting tools.
  • Understanding of Statements of Work, order forms, service agreements and deployment requirements.
  • Experience supporting geographically distributed Sales and Operations teams.

  • Billing accuracy: Complete and accurate handover of commercial information to Finance.
