Recess Hotel and Club

Group Rooms Coordinator

Recess Hotel & Club is bringing a new kind of hospitality to the heart of Savannah. Housed within the historic Manger Building, Recess blends a 221-room lifestyle hotel with a members club, rooftop pool, French brasserie, wellness club, coworking spaces, and lively social venues—all designed around one simple idea: life is better when there's room to play.

Recess is the newest project from LEFT LANE, the team behind Hotel Bardo Savannah. In just one year, Bardo has earned Condé Nast Traveler's inaugural Triple Crown distinction—recognizing hotels that have achieved the publication's Hot List, Gold List, and Readers' Choice Awards—along with the inaugural Michelin Key designation and recognition from Travel + Leisure as one of the Best New Hotels of the Year. It's this same commitment to thoughtful hospitality and unforgettable experiences that we're bringing to Recess.

We're building more than a hotel. We're building a team of people who believe great hospitality is thoughtful, personal, and a little unexpected. Whether you're welcoming guests, creating memorable meals, keeping the operation running seamlessly, or leading a team, every role helps shape the Recess experience from day one.

If you're curious, collaborative, and excited by the opportunity to build something from the ground up, we'd love to meet you.

Find and seek. Stay here, play here. Welcome to Recess.

About the role

Our team at Recess Hotel & Club is looking for a detail-driven, organized, service-minded and eager-to-learn Group Rooms Coordinator to join our Commercial team. The Group Rooms Coordinator supports our commercial team, hotel operations and group clients, helping manage room blocks from contract to arrival. This team member helps ensure each wedding party, corporate retreat and celebration is set up for a seamless experience before the first guest ever walks through the door. The ideal candidate is precise, proactive and calm under deadlines, with a genuine love for hospitality and the people behind every group. This is a great opportunity for someone early in their hospitality career who wants to grow into group sales or revenue management. Full training on our systems is provided.

What you'll do

  • Room Block Management - Assisting with building, loading and maintaining group room blocks in Delphi FDC and StayNTouch PMS, and creating group booking links in SynXis CRS so guests can reserve quickly and accurately.
  • Pickup and Pace Monitoring - Tracking group block pickup, booking pace and reservation patterns, and flagging trends and potential issues to the hotel's commercial team.
  • Cutoff Date Management - Monitoring and managing group cutoff dates, processing extensions or releases as directed by the commercial team, and communicating cutoff decisions to the commercial team and clients.
  • Client and Guest Communication - Serving as a friendly, responsive point of contact for group contacts and guests regarding room blocks, reservations, booking procedures and other group-related information.
  • Hotel Team Communication - Keeping the hotel team informed on group block status, pickup, cutoff dates, changes and other relevant updates so every department is prepared for arrival.
  • Inventory Balancing - Reviewing straight-line inventory availability and supporting the front office and commercial team in balancing inventory.
  • Accuracy and Reporting - Reconciling rooming lists, reservation details and billing instructions, maintaining clean group records across systems, and preparing pickup and block status reports.
  • Ensuring Standards - Upholding Recess service standards in every client interaction and sharing ideas to improve group booking processes and the guest experience.

Qualifications

  • 1+ year of hotel or customer service experience (front desk, reservations, sales coordination or similar), ideally in a luxury or lifestyle environment; group rooms experience a plus but not required.
  • Familiarity with hotel systems such as Delphi FDC, StayNTouch PMS or SynXis CRS is a plus; we'll train you on our tools. Comfort learning new software is required.
  • Interest in learning group contracts, room block management, attrition, cutoff dates and inventory controls.
  • Strong attention to detail and organizational skills are necessary for managing multiple groups and deadlines at once.
  • Clear, friendly written and verbal communication skills, a positive attitude and the ability to build rapport with clients, guests and internal teams are crucial.
  • Comfort working with numbers and spreadsheets is important; experience with reports, pickup data and inventory is a plus.
  • The ability to handle unexpected requests, resolve issues with poise, and adapt to changing client and guest needs is important.
  • Working knowledge of Microsoft Office, particularly Excel and Outlook, is required.
