About the Role

The Workplace Services Manager is responsible for the efficient, high-quality delivery of workplace operations and employee-experience services at the company’s flagship office. This individual ensures that the headquarters location runs smoothly, safely, and efficiently, while creating a welcoming, productive environment for employees, clients, and visitors. The ideal candidate is a proactive, service-oriented leader with strong organizational, vendor management, and facilities operations skills.


Your Key Contributions

  • Direct and manage the procurement, inventory control, and distribution of office supplies, ensuring optimal availability and cost efficiency.
  • Oversee third-party vendors (e.g., cleaning services, HVAC, office supply providers) to ensure high performance, service delivery, and alignment with service level agreements (SLA’s).
  • Manage day-to-day building operations, including preventative maintenance programs, work order management, building systems coordination, and issue resolution to ensure a safe and reliable workplace environment.
  • Manage location-specific budgets, including expense tracking, forecasting, and reporting.
  • Ensure compliance with building codes, OSHA regulations, fire/life safety standards, and internal workplace policies including signage.
  • Serve as site emergency coordinator and co-lead safety training, drills, and incident response efforts with security.
  • Maintain site-specific business continuity and workplace recovery plans, ensuring readiness for weather events, facility disruptions, and other operational emergencies.
  • Oversee complex office moves, facility upgrades, and service transitions by collaborating strategically with cross-functional and executive teams to deliver an integrated workplace experience.
  • Maintain seating plans, occupancy data, and workplace standards while partnering with leadership to optimize space utilization and support organizational growth.
  • Foster a positive workplace culture by supporting events, communications, and programs that enhance employee engagement.
  • Develop and monitor workplace KPI’s (e.g. employee satisfaction, incident rates, space utilization, and vendor performance) to identify trends and implement data-driven improvements.
  • Monitor emerging workplace trends and provide strategic recommendations to enhance services, policies, and workplace technologies.

  • Builds Effective Teams: Provides guidance, performance feedback, and development support to team members while fostering a collaborative, inclusive environment that supports engagement and operational goals.
  • Collaborates: Partners with cross-functional and executive teams to deliver workplace initiatives such as office moves, space optimization, and employee experience programs.
  • Instills Trust: Ensures compliance with safety standards and company policies, maintains transparent vendor and stakeholder communication, and delivers reliable, high-quality workplace operations.
  • Advanced proficiency in facilities management systems and technology platforms, such as CAFM, IWMS, and visitor management solutions, to drive operational efficiency and data-informed decision-making.
  • Skilled in MS Office programs and computer literacy.
  • Demonstrated ability to multi-task, work independently, and proactively.
  • Executive level presence.
  • Bachelor’s Degree in office administration, management, or related field, or equivalent experience.
  • 5-7 years of experience working in an office administration or hospitality management role’.
  • 2-4 years of previous leadership or vendor management experience.
  • Professional certifications such as PMP, FMP, or other relevant credentials preferred.
