Office Support Coordinator

Position Overview 


This position is in office, Monday - Friday, 8:00AM - 5:00PM


The Office Support Coordinator is a highly organized, customer-focused role that supports the daily operations of the front office while also assisting with coordination, shipping and receiving, inventory tracking, and light marketing administration. 

 

This position serves as a central point of contact for visitors, clients, employees, and internal teams. The person in this role helps keep the office running smoothly by managing front desk responsibilities, routing calls and emails, preparing meetings, maintaining supplies, coordinating service requests, and supporting day-to-day administrative needs. 

 

The role also includes responsibility for coordinating technician schedules, monitoring open service requests, preparing and receiving shipments, tracking equipment and supplies, and assisting with basic marketing tasks such as event preparation, branded materials, mailings, approved content updates, and light design or formatting support. The ideal candidate is professional, dependable, and comfortable balancing multiple priorities throughout the day. 

 

They should enjoy helping others, communicating clearly, staying organized, and learning new systems and processes. This is a great fit for someone with experience in office administration, customer service, and who wants to be involved in several areas of the business. 


Key Responsibilities 

Front Desk & Office Support 

  • Greet visitors and clients in a professional, friendly manner  
  • Answer and route incoming calls and emails  
  • Receive and enter service requests or support tickets 
  • Maintain a clean and organized reception/front office area  
  • Assist with scheduling, meeting preparation, office supplies, and general administrative tasks  
  • Support internal teams with day-to-day operational needs  
  • Monitor office supply levels and coordinate timely reorders to prevent shortages and avoid overstocking.  
  • Maintain a clean, organized, and professional office environment by overseeing kitchen upkeep, shared workspace cleanliness, and vendor support 

Shipping, Receiving & Inventory 

  • Prepare, package, and ship equipment, supplies, and materials  
  • Receive incoming shipments and verify contents  
  • Track equipment, supplies, and inventory as directed  
  • Assist with organizing IT assets, office supplies, and client materials  

Administrative Assistance 

  • Provide light support for marketing tasks such as preparing materials, updating lists, assisting with events, or posting approved content  
  • Help coordinate branded items, mailings, client gifts, or event materials  
  • Support basic content formatting or updates using tools such as Canva, email platforms, or social media scheduling tools 

Minimum Qualifications 

  • 2-3 years of experience in office administration, customer service, or a related role  
  • Strong communication and customer service skills  
  • Comfortable using computers, email, Microsoft Office, and basic business software  
  • Interest in technology  
  • Highly organized and able to manage multiple tasks throughout the day  
  • Reliable, professional, and comfortable working in a fast-paced environment  
  • Ability to follow processes and escalate issues appropriately 

Preferred Qualifications 

  • Experience in a front desk, receptionist, administrative assistant, or customer service role  
  • Exposure to help desk, ticketing systems, dispatching, or IT service environments  
  • Familiarity with Microsoft 365, Teams, SharePoint, or basic computer hardware  
  • Basic experience with Canva, social media, email marketing, or event support  
  • Experience with shipping, receiving, or inventory tracking 

 

Other Requirements:   
Employment is contingent upon completing a background check and a drug test. Skills testing may be required during the interview process. Lifting equipment weighing 25 lbs. may be required. Compensation is based on experience.
