NSTXL is creating an ecosystem of innovators to collaborate and bring next-generation technologies to the end-user. Our OTAs have over 900 members from corporate, non-profit, educational, and financial institutions. For these members, NSTXL offers opportunities to bid on government contracts, education and training, and live/virtual forums on various topics.

Job Description:

The Member Experience Administrator (Intern) supports the Marketing Division in ensuring effective member engagement and smooth operations across membership processes. This role is responsible for managing the membership inbox, triaging and responding to member inquiries, maintaining accurate member data in CRM systems, and tracking response times and resolutions. The Member Experience Administrator will support new member application intake, onboarding coordination, and renewal processing, as well as build and validate audience lists for member communications and campaigns. The role also involves coordinating with internal teams including Marketing, IT, Finance, and Contracts, supporting the execution of email campaigns, webinars, and engagement initiatives, and contributing to documentation, reporting, and process improvements that support a consistent and reliable member experience.

 

Essential Duties and Responsibilities

Member Support and Administration

  • Support member inquiries across shared inboxes and communication channels, ensuring timely and accurate responses
  • Triage incoming requests and route to appropriate internal teams when needed
  • Maintain professional communication standards aligned with organizational expectations
  • Track member inquiries, response times, and resolutions within CRM systems
  • Identify recurring member questions and support updates to FAQs or internal resources

Membership Operations

  • Assist with membership application intake, data entry, and tracking
  • Support account setup, onboarding coordination, and renewal processing
  • Maintain accurate and up-to-date member records, including contacts and organizational details
  • Follow established workflows to ensure consistency across membership processes
  • Support documentation and process updates as procedures evolve

CRM and Data Management

  • Enter, update, and maintain member data within CRM systems such as Salesforce or HubSpot
  • Support data hygiene efforts to ensure accuracy and completeness across records
  • Assist in list management, segmentation, and basic reporting needs
  • Generate routine reports to support internal team visibility into member activity and engagement

Member Engagement and Campaign Support

  • Support execution of member communications, including email campaigns and announcements
  • Assist with preparation and coordination of webinars, events, and engagement initiatives
  • Build and validate audience lists for communications and campaigns
  • Support quality assurance of communications prior to distribution

Cross-Functional Coordination

  • Coordinate with internal teams including Marketing, IT, Finance, and Contracts to support member needs
  • Follow defined escalation paths to ensure timely resolution of issues
  • Support internal collaboration by maintaining clear documentation and communication

General Support

  • Support membership and marketing initiatives as needed
  • Participate in team meetings, training, and ongoing development activities
  • Perform additional duties aligned with program and organizational need

Qualifications Expected for Position:

Required Education/Clearance

  • Bachelor's degree, Associate's degree with relevant experience, or equivalent professional or military experience
  • Strong written and verbal communication skills
  • High attention to detail, particularly in data entry, recordkeeping, and process execution
  • Ability to follow established processes while managing multiple tasks
  • Demonstrated ability to learn new systems and tools quickly
  • Basic proficiency with Microsoft Office Suite

Preferred

  • Exposure to CRM platforms such as Salesforce or HubSpot
  • Experience in administrative, customer service, or support roles
  • Familiarity with marketing tools or communication platforms
  • Experience working in a structured, process-driven environment
  • Current or prior security clearance
