Position Summary:

The Area Clinic Support Lead supports the Area Practice Manager (APM) in maintaining efficient clinic operations and achieving regional goals. This role requires a strong understanding of clinic procedures, healthcare administration, scheduling, and operational processes, along with the ability to identify and resolve issues independently.

The successful candidate will serve as a key point of contact for clinic staff and will collaborate effectively with billing, customer service, patients, referral sources, insurance companies, and other internal and external partners. This individual will help identify operational challenges, coordinate solutions, and ensure that clinic workflows and processes are running efficiently.

The Area Clinic Support Lead must be reliable, organized, adaptable, and comfortable working both independently and collaboratively in remote and in-person environments. The ideal candidate will be able to prioritize competing demands, communicate effectively, and apply sound judgment when addressing day-to-day operational challenges.

**This position requires regular travel to New Jersey, and New York**

Key Responsibilities:

Clinic Operations Support

• Support the Area Practice Manager in executing operational strategies and achieving regional goals.

• Maintain regular communication with clinic staff to identify concerns, provide support, and help address operational needs.

• Assist with regional staffing schedules to ensure clinics have appropriate coverage during operating hours.

• Support the Area Practice Manager in managing call-outs, staffing gaps, and coverage challenges.

• Coordinate and communicate inter-clinic coverage plans when applicable.

• Serve as a resource for clinic staff regarding company systems, HR processes and documents, IT support, hospital credentialing, and other operational resources.

• Help identify opportunities to improve clinic processes, communication, and overall operational efficiency.

• Escalate issues appropriately to the Area Practice Manager or other appropriate departments when additional support or decision-making is required.

Administrative & Operational Support

• Monitor work in progress and assist with identifying and resolving operational roadblocks.

• Monitor key performance indicators (KPIs) and assist in developing strategies to improve workflow efficiency and operational performance.

• Facilitate collaboration among regional PCCs, Authorization Specialists, Billing Specialists, and other team members by developing a strong understanding of each role and its impact on the overall business process.

• Assist with payroll review and PTO requests while ensuring team calendars and schedules remain accurate and up to date.

• Review and calculate expense and mileage reports for accuracy and completeness.

• Assist with communication and coordination between clinics and centralized departments, including Billing, Customer Service, HR, IT, and other support functions.

• Provide operational support and follow through on assigned projects and initiatives.

• Perform other duties and responsibilities as assigned.

Education & Experience

• Internal Candidates: Minimum of 1 year of tenure with OPSB and demonstrated knowledge of OPSB clinic operations and processes.

• External Candidates: Minimum of 5 years of relevant experience in healthcare administration, clinic operations, or a related healthcare environment.

• Experience working in a multi-clinic or regional healthcare environment preferred.

• Experience in the orthotics and prosthetics (O&P) industry preferred.

• Experience with scheduling, staffing coordination, healthcare administration, or clinic operations preferred.

Knowledge, Skills & Abilities

• Strong understanding of healthcare clinic operations and administrative processes.

• Excellent verbal and written communication skills.

• Ability to communicate effectively with clinic staff, patients, referral sources, insurance companies, and internal departments.

• Strong organizational and time-management skills with the ability to prioritize competing demands.

• Ability to work independently and make sound decisions within established guidelines.

• Strong problem-solving and critical-thinking skills.

• Ability to identify operational issues and follow through on solutions.

• Strong attention to detail and accuracy.

• Ability to build effective working relationships across multiple departments and clinic locations.

• Comfortable working in both remote and in-person environments.

• Proficiency with Microsoft Office and other relevant business systems.

Preferred Qualifications

• Experience supporting multiple clinic locations.

• Experience coordinating staffing coverage and schedules.

• Familiarity with healthcare billing, insurance processes, authorizations, or revenue cycle operations.

• Experience working in orthotics and prosthetics or another healthcare specialty.

• Experience working with remote teams and centralized support departments.
