About the Role

We are hiring an owner for every dollar we spend with outside vendors. You will negotiate all vendor contracts, run competitive RFPs, and approve every service-provider invoice before it is paid. The scope runs from legal counsel and enterprise software to office supplies, cleaning services, and warehouse packaging. Your mandate is simple: pay the right price, for the right service, with no surprises on the invoice. This is a hands-on role with direct access to Senior Executives and real authority to change how the company buys. This person can save the company millions of dollars a year.

Key responsibilities:

Contract negotiation

  • Lead negotiation of all new contracts, renewals, and amendments with external vendors and service providers.
  • Secure favorable pricing, payment terms, service levels, and exit clauses; partner with legal counsel on contract language.
  • Maintain a central contract repository with renewal dates, auto-renew clauses, and notice deadlines so nothing renews by default.

RFPs and competitive sourcing

  • Run RFPs for as many spend categories as practical, from software and professional services to supplies and facilities.
  • Build vendor shortlists, scoring criteria, and side-by-side comparisons, and recommend awards to leadership.
  • Re-bid existing vendors on a regular cycle to keep pricing competitive.

Invoice approval

  • Review and approve every invoice from every service provider each month before payment.
  • Check invoices against contracted rates, quantities, and services actually received; dispute and resolve errors and over-billing.
  • Partner with Accounting to keep approvals on schedule and support month-end close.

Expense management and efficiency

  • Own a full view of vendor spend by category, vendor, and department, and report on it monthly.
  • Find and eliminate waste: duplicate tools, unused software seats, overlapping services, and off-contract purchases.
  • Consolidate vendors where it lowers cost or complexity, and set purchasing policies and approval thresholds for the company.
  • Track and report realized savings against targets.

What success looks like in year one

  • Every active vendor contract is logged in one repository, with owners and renewal dates.
  • 100% of service-provider invoices are reviewed and approved by you before payment, on time for month-end close.
  • Major spend categories have been through a competitive RFP or formal re-bid.
  • Measurable, reported savings against a target set with leadership
  • No vendor contract auto-renews without a deliberate decision.

Minimum Qualifications:

  • 7+ years in procurement, vendor management, strategic sourcing, or a closely related finance or operations role.
  • A track record of negotiating contracts and delivering documented cost savings.
  • Hands-on experience running RFPs from scope through award.
  • Experience with accounts payable workflows and invoice review or approval.
  • Strong analytical skills and advanced Excel or Google Sheets.
  • Comfortable pushing back on vendors and holding internal teams to purchasing policy.

Preferred Qualifications:

  • Experience in e-commerce, consumer products, or Amazon-focused businesses.
  • Familiarity with NetSuite or a similar ERP.
  • Experience buying SaaS and data platforms, including seat and usage-based pricing.
  • Experience sourcing warehouse supplies, packaging, or facilities services.
  • Bachelor's degree in business, finance, supply chain, or related field; CPSM or similar certification a plus.
