About the role

SmartSuite is building the next generation of enterprise software—an AI-native Work Operating System that connects governance, risk, compliance, IT, project management, finance, and business operations on a single platform.
We are hiring a Head of AI to personally drive the implementation of AI across every part of our business and within our product.


This role spans all departments, including Sales, Marketing, Customer Success, Support, Product, Engineering, Finance, and Operations.


This is a hands-on, execution-focused role. You will not just define strategy—you will build, implement, train, and scale AI usage across the company while helping shape how AI is delivered to our customers inside SmartSuite.
This is a highly visible, cross-functional role reporting directly to the CEO and working closely with Product, Engineering, and Go-To-Market leadership.


This role is measured by implemented solutions and adoption—not strategy documents.


What you'll do

1. Embed AI Into Every Department (Hands-On)

  • Work directly with teams across the company to identify and implement AI-driven improvements
  • Build prompts, agents, workflows, and automations using SmartSuite and modern AI tools
  • Replace manual processes with AI-enabled workflows
  • Iterate quickly based on real-world usage and feedback

2. Train and Enable Teams (Internal + External)

  • Run hands-on training sessions and working sessions with internal teams
  • Create structured playbooks, templates, and repeatable patterns
  • Develop training videos and educational content on AI usage
  • Host webinars and customer sessions to showcase AI use cases and best practices
  • Drive adoption across both SmartSuite teams and customers

3. Build AI Into the SmartSuite Product

  • Partner with Product and Engineering to define and implement AI capabilities
  • Prototype and validate real-world AI use cases before productization
  • Contribute to capabilities such as:
    • AI Assist
    • AI Agents
    • AI Search
    • AI Solution Builder
    • MCP Server (Model Context Protocol server implementation)
    • Workflow automation with AI
  • Ensure AI is embedded directly into workflows—not added as standalone features
  • You help define what gets built—and prove it works in practice

4. AI Architecture & MCP (Model Context Protocol)

  • Design and implement SmartSuite’s approach to Model Context Protocol (MCP) and context orchestration
  • Enable seamless interaction between AI models, SmartSuite data, workflows, and external systems
  • Support SmartSuite’s BYO-LLM architecture, allowing customers to use their preferred models
  • Ensure scalable, secure, and consistent AI behavior across the platform

5. AI Ecosystem & Partner Management

  • Evaluate and manage relationships with AI providers such as OpenAI, Anthropic, Amazon Web Services, and Google Cloud
  • Select models and tools based on real use cases, performance, and cost
  • Optimize for flexibility, reliability, and scalability across providers
  • Make build vs. buy vs. partner decisions for AI capabilities
  • Vendor and partner management is in service of building and delivering AI-powered workflows—not a standalone responsibility.

6. Standardize Tools, Patterns, and Best Practices

  • Establish standards for how AI is used across the company
  • Define reusable prompts, workflows, and automation patterns
  • Ensure consistency, scalability, and governance
  • Use SmartSuite as the primary platform for designing and deploying AI-driven workflows


What We're Looking For

Core Profile

  • Builder/operator mindset — you execute, not just plan
  • Proven experience implementing AI in real business workflows
  • Comfortable working directly with both technical and non-technical teams
  • Strong understanding of LLMs, AI agents, and modern AI capabilities
  • Ability to move quickly, iterate, and deliver results

Required Experience

  • Hands-on experience with leading AI models and platforms, particularly:
    • Anthropic (Claude, including Code Interpreter, Artifacts, Co-Work, and related capabilities)
    • OpenAI
  • Experience building AI-powered workflows, agents, and automations
  • Proven track record of deploying AI solutions that are actively used in a business environment
  • Experience training teams or users on new technologies and driving adoption

Preferred Experience

  • Familiarity with cloud AI ecosystems (AWS, Google Cloud, etc.)
  • Experience with AI agents, context management, or orchestration frameworks
  • Exposure to enterprise workflows (GRC, ITSM, Finance, Operations, etc.)
  • Experience creating educational content (videos, webinars, or workshops)

What Success Looks Like (First 6–12 Months)

  • AI is actively used across multiple departments in daily workflows
  • Measurable improvements in efficiency, accuracy, and output quality
  • Internal teams are trained and confident in using AI
  • Customers are educated through webinars, training content, and real use cases
  • SmartSuite product includes differentiated AI capabilities used in production

  • A research role
  • A strategy-only role
  • A thought leadership position

If your default output is slides instead of shipped workflows, this role is not a fit.
