Position Summary

Timberline Veterinary Emergency & Specialty is seeking a Specialty Referral Coordinator to support our growing specialty services and provide an exceptional experience for clients and referring veterinarians.

This role is essential to the success of our specialty departments. You will manage referral coordination, scheduling, communication, and case documentation while serving as a key liaison between clients, referring DVMs, specialty teams, and hospital leadership. What You’ll Do:

• Coordinate specialty consults, referrals, and scheduling.
• Communicate with clients and referring veterinarians via phone and email.
• Greet clients and check patients into our Practice Management System (Instinct).
• Request, receive, and upload referral records and patient documentation.
• Review estimates, schedule procedures and rechecks.
• Confirm appointments, paperwork, and patient information.
• Support invoicing, payments, and discharges.
• Collaborate with specialty teams, client care, and leadership.

What We’re Looking For:

• Required experience in a veterinary front desk role (specialty preferred) or previous veterinary assistant experience
• Excellent communication and interpersonal skills
• Strong attention to detail and organizational skills
• Positive, collaborative attitude with a growth mindset
• Comfort working in a busy, on-site environment
• Work schedule: Tuesday - Saturday, 9am-5pm

Schedule, Compensation, and Benefits:

• As an emergency and specialty hospital, all team members participate in a fair rotation of holidays.
• Hourly compensation is based on experience and skills ($26-32/hr).
