Role Overview

As a Commercial Operations Specialist, you will ensure the smooth execution of orders, monitor inventory, and contribute to continuous process improvements.


You will leverage available data to enhance inventory accuracy, increase efficiency, and facilitate coordination between commercial teams and headquarters.

Working closely with leadership, you will contribute to policy development, support colleagues, and implement best practices to strengthen customer service excellence and overall organizational performance.


The ideal candidate brings strategic expertise in commercial operations and medical device inventory management, within a fast-paced environment where organization and rigor are essential.

Key Responsibilities

General / Order Management

  • Manage daily order processing (entry, tracking, coordination through to invoicing)
  • Review and handle complex or high-impact requests via CRM, email, and phone
  • Act as the primary and strategic link between field sales teams and internal teams setting communication standards and guiding high-impact decisions
  • Support team members, contribute to policy development, and participate in ad hoc projects to enhance operational excellence and customer service quality
  • Provide support for various projects and ad hoc requests as needed

Inventory Management

  • Manage stock movements from order to invoicing and ensure data accuracy in CRM/ERP systems
  • Analyze trends and seasonality, recommending improvements to optimize product flow and reduce costs
  • Understand cross-functional workflows and propose continuous improvement actions to enhance daily organization and efficiency

Monitoring & Reporting

  • Conduct advanced analyses of performance, demand, and inventory to define KPIs, optimize resource utilization, and guide long-term allocation and growth strategies
  • Oversee field inventory productivity across hospitals and sales representatives by setting stock thresholds per territory, anticipating needs, and maximizing inventory efficiency

 

What You Bring:

  • University degree (Bachelor or Master)
  • 4 years of relevant experience in the customer service area (from operational functions like order management or set sourcing)
  • Fluency in German and English (Swedish, Danish & Norwegian are nice to have)
  • Experience working within the medtech and pharmaceutical sectors, including familiarity with industry regulations and inventory policies
  • Experience in the medical device and pharmaceutical industries, including knowledge of industry regulations and inventory management policies
  • Proficiency in Microsoft Office, ERP systems, CRM tools, advanced Excel skills, and experience with Power BI
  • Strong communication and multitasking skills, with the ability to engage stakeholders at all levels and build effective working relationships
  • Excellent written and verbal communication skills, with the ability to structure problems and clearly present complex analyses and insights
  • Ability to exercise independent judgment, manage multiple priorities, and clearly communicate complex topics
  • Ability to regularly lift up to 5 kg and occasionally up to 12 kg

Compensation:  

Pay for this role is competitive and based on experience, with qualifications and performance considered.

This role is with a remote work model. While non-local candidates may apply, relocation and housing assistance are not provided, and candidates are responsible for all related expenses.

VB Spine reserves the right to offer compensation outside of this listed range. Final compensation is determined on a case-by-case basis and considers factors such as experience level, skill set, and market conditions.
