About the role:
The Sales Administrator is the operational backbone of Veridian's direct-to-consumer sales engine. This role keeps the sales systems clean, the reps unblocked, and the leadership informed. You are the bridge between sales reps in the field and the leadership team — making sure leads are routed, contracts are clean, the CRM tells the truth, and reporting is accurate when leadership needs answers. This is a hands-on, full-spectrum operations role that splits about evenly between systems work (i360, Leap, Ingage, Hatch, Rippling) and direct rep support (lead routing, contract handling, follow-up coordination, troubleshooting). You will work closely with the VP of Sales, Sales Managers, and the broader leadership team. You will not carry a quota, but the sales team's results are your results — when reps are productive, you are doing your job.
What you'll do:
● Own day-to-day administration of the DTC sales tech stack: i360 (CRM), Leap (estimating), Ingage (in-home presentation), Hatch (call center / lead nurture), and Rippling (HRIS / payroll touchpoints).
● Maintain CRM hygiene in i360 — keep customer, lead, and job records accurate, complete, and free of duplicates. Build the discipline of "if it isn't in i360, it didn't happen."
● Manage user setup, permissions, and access for sales reps and managers across all sales systems. Onboard new reps cleanly so they're productive in days, not weeks.
● Build and maintain weekly and monthly sales reports for the VP of Sales and broader leadership: pipeline status, conversion metrics, rep performance, lead source effectiveness, and commission-relevant data.
● Partner with the VP of Sales and Sales Managers to update Ingage presentations, Leap pricing templates, and i360 workflows as products, pricing, and processes evolve.
● Run weekly data audits to surface gaps, anomalies, or jobs at risk of falling through the cracks. Flag issues early; don't wait for them to become problems.
● Serve as the first line of system support for sales reps — troubleshoot day-to-day issues with i360, Leap, Ingage, and Hatch, and escalate to vendor support or IT when needed.
Sales Rep Support
● Manage daily lead routing — confirm leads are assigned to the right rep based on territory, capacity, and rotation, and flag any routing breakdowns to the Sales Manager same-day.
● Coordinate appointment scheduling and rescheduling between the call center, sales reps, and customers. Keep the calendar tight.
● Review submitted contracts for completeness and accuracy before they move to production: signed paperwork, deposit confirmation, financing documentation, measurement details, and required photos.
● Be the operational point of contact for sales reps — when something blocks them in the field, they come to you first. Resolve it or escalate it; don't let it sit.
● Support customer follow-up after the appointment: confirm next steps, send required documents, coordinate handoffs to production, and keep the customer experience seamless during the transition.
● Help new sales reps get up to speed during their first 30–60 days — system training, ride-along coordination, and answering the small operational questions that come up constantly during ramp.
● Support the VP of Sales and Sales Managers with sales meeting prep, weekly huddles, agenda materials, and follow-up action item tracking.
What we are looking for:
● Bachelor's degree or equivalent practical experience.
● 2+ years in a sales operations, sales support, sales coordinator, or sales admin role, preferably in home improvement, home services, or another in-home consultative sales environment.
● Hands-on experience with a CRM (i360, Salesforce, HubSpot, Lead Perfection, or similar). Comfortable in the system every day, not just occasionally.
● Strong proficiency in Excel/Google Sheets, pivot table, basic formulas, You'll build reports and own data accuracy daily.
● Highly organized and detail-oriented. Sales reps will trust you with their commission data and customer relationships, the work has to be right.
● Strong written and verbal communication skills. You're working with reps in the field, leadership in the office, and customers on the phone, your tone has to land for all three.
● Self-starter mindset. You'll be given priorities, not step-by-step instructions. Comfort with ambiguity matters. Veridian is scaling, and the role will evolve as we grow.
● Customer-service mindset. Sales reps are your internal customers; their productivity is your scorecard.
● Direct experience with i360, Leap, Ingage, or Hatch.
● Background in residential pool, turf, fencing, or related outdoor-living trades.
● Experience supporting commission processing, sales contests, or rep performance scorecards. ● Familiarity with expense platforms.
