Business Operations Manager

About the role

The Business Operations Manager is responsible for ensuring the efficient and effective operation of WEConnect International's business infrastructure and administrative functions. This role provides operational support and coordination across human resources, finance administration, technology, procurement, vendor management, board administration, events, travel, and organizational systems.

The role serves as the central point of coordination for the organization's outsourced service providers and internal operational processes, ensuring that employees, leadership, and stakeholders have the systems, resources, and support needed to advance WEConnect International's mission.

The successful candidate will be a highly organized and proactive operations professional who enjoys building systems, improving processes, solving problems, and supporting a mission-driven organization.


What you'll do

1. Organizational Operations & Administration

·      Coordinate and oversee day-to-day business operations and administrative activities.

·      Maintain organizational policies, procedures, and operational documentation.

·      Identify opportunities to improve efficiency, effectiveness, and organizational performance.

·      Support compliance with organizational policies, legal requirements, and operational standards.

·      Maintain organizational records and administrative systems.

·      Support implementation of strategic initiatives and operational improvements.

 

2. Human Resources & Payroll Administration

·      Serve as the primary liaison with the organization's outsourced HR provider.

·      Coordinate employee onboarding and offboarding activities.

·      Support benefits administration and employee communications.

·      Coordinate payroll processing and payroll-related activities.

·      Maintain employee records and HR documentation.

·      Submit 403b contributions to provider.

·      Review bi-monthly time sheets for all employees to ensure alignment.

·      Assist with policy implementation and employee handbook updates.

3. Finance, Budgeting & Accounting Coordination

·      Serve as the primary liaison with the outsourced accounting firm.

·      Coordinate invoice processing, expense reporting, and financial documentation.

·      Support monthly financial reporting and budget monitoring.

·      Lead the annual organizational budget development process by coordinating inputs from departments.

·      Consolidate departmental budgets and support leadership in organizational planning.

·      Monitor operational expenditures and budget performance.

·      Coordinate banking administration and maintain relationships with financial institutions.

 

4. Information Technology & Systems Management

·      Serve as the primary point of contact for outsourced IT providers and technology vendors.

·      Coordinate employee technology onboarding and offboarding.

·      Manage technology inventory, including laptops, monitors, and related equipment.

·      Coordinate technology purchases and equipment deployment.

·      Serve as the primary coordinator for employee IT onboarding, equipment management, ticket coordination, and operational support.

·      Monitor software licenses, subscriptions, and vendor agreements.

·      Ensure employees receive timely technical support and resources.

·      Support implementation and maintenance of organizational technology systems (excluding WECommunity platform and LMS)

 

5. Procurement & Vendor Management

·      Administer organizational procurement policies and procedures.

·      Manage procurement processes and purchasing activities across departments.

·      Review vendor contracts, renewals, and service agreements.

·      Maintain procurement records and vendor files.

·      Coordinate vendor selection and contract administration activities.

·      Monitor vendor performance and service delivery.

 

6. Travel, Events & Logistics Support

·      Coordinate travel arrangements for staff, leadership, board members, and guests.

·      Support logistics for conferences, meetings, convenings, and organizational events.

·      Coordinate venues, audiovisual requirements, equipment, vendors, and event logistics.

·      Provide operational support for event setup and execution.

·      Organize staff retreats, team-building activities, and internal meetings.

·      Ensure smooth operational delivery of organizational events and engagements.


7. Board Administration & Governance Support

·      Coordinate preparation and distribution of board meeting materials.

·      Collect presentations, reports, and supporting documents from staff and leadership.

·      Assemble board books and meeting packets.

·      Coordinate board and committee meeting logistics.

·      Draft and maintain board and committee meeting minutes.

·      Maintain governance records and related documentation.

 

8. Facilities & Office Management

·      Coordinate office and facility needs for a hybrid workforce.

·      Manage office equipment, supplies, and service providers.

·      Support workplace operations and employee resource needs.

·      Ensure staff have the tools, equipment, and resources necessary to perform their work effectively.

Cross-Functional Collaboration

The Business Operations Manager will work closely with:

·      CEO and Leadership Team on organizational priorities, budgeting, planning, and operational execution.

·      Finance partners on accounting, reporting, budgeting, and financial administration.

·      HR providers on employee support, payroll, benefits, and compliance.

·      IT providers on technology support, cybersecurity, systems, and employee equipment.

·      Staff across departments on procurement, travel, events, budgeting, and operational needs.

·      Board members and committee chairs on governance support and meeting administration.

·      External vendors and service providers on contracts, procurement, facilities, and operational services.


Qualifications

  • Bachelor's degree in business administration, Operations Management, Public Administration, or a related field, or equivalent professional experience.
  • 5–8 years of experience in operations, business administration, nonprofit management, project management, or related fields.
  • Experience working in a nonprofit organization, preferred.
  • Experience managing multiple vendors and outsourced service providers.
  • Experience supporting budgeting, financial administration, or business operations.
  • Strong project management and organizational skills.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft 365, Google Workspace, and common business applications.
  • Ability to manage multiple priorities and work independently in a fast-paced environment.
