About the role

The Office Administrator serves as the face of Zion HealthShare and a key support resource across multiple departments. This role is central to the day-to-day functioning of our office environment, providing critical administrative support to the department leaders including Finance, HR, Sales, and Operations. The ideal candidate is organized, proactive, and thrives in an office environment.

What you'll do

  • Coordinate the daily administrative operations of the office to maintain an organized, efficient, and professional work environment.
  • Receive, sort, and distribute incoming mail and packages; coordinate outgoing shipments and deliveries as needed.
  • Order and maintain inventory of office, breakroom, and workplace supplies while tracking expenditures and supporting annual budget planning.
  • Coordinate office vendors and service providers, including scheduling maintenance and communicating facility or service needs.
  • Conduct routine office walkthroughs to identify facility or cleanliness concerns and coordinate resolutions with the appropriate vendors.
  • Assist the Finance team by preparing and coordinating documentation related to office purchases, vendor invoices, reimbursements, and approved payment requests.
  • Coordinate conference room schedules, travel arrangements, and logistics for meetings, trainings, and company events, including ordering meals and refreshments as needed.
  • Research office products and service providers and provide recommendations for cost-effective purchasing and operational improvements.
  • Support Human Resources with employee engagement activities, onboarding logistics, company initiatives, and other administrative projects.
  • Maintain accurate office records, purchasing documentation, and administrative files while providing general support for cross-functional projects and other duties as assigned.

Qualifications

  • Previous experience in office administration, office management, operations, or a similar role
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent attention to detail and ability to maintain accurate records
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and a collaborative, service-oriented approach.
  • Ability to quickly learn new technology and office systems.
  • Professional judgment, discretion, and commitment to confidentiality.
  • Self-motivated with the ability to work independently and take ownership of tasks
  • Dependable, punctual, and committed to delivering high-quality work.
