We are seeking a highly skilled and polished Executive Assistant to provide dedicated support to the CEO and President of Harbor IT, (2 executives) within the Worklyn Partners Private Equity group. This is a full-time, onsite position (Monday - Friday, 8 AM - 5 PM EST) requiring a proactive, detail-oriented professional who thrives in a fast-paced private equity or holding company environment.
Key Responsibilities:
- Executive & Business Support: Serve as a key liaison between the CEO, President, portfolio companies, and internal/external stakeholders.
- Complex Calendar Management: Coordinate and optimize schedules, prioritizing strategic engagements across multiple businesses.
- Travel & Logistics Coordination: Manage intricate domestic and international travel arrangements, ensuring efficiency and seamless execution.
- Correspondence & Communication: Oversee emails, calls, and correspondence, drafting high-level documents with precision and professionalism.
- Meeting & Event Planning: Organize board meetings, investor meetings, and high-profile events with attention to detail and discretion.
- Confidential Data & Information Management: Handle sensitive documents, contracts, and financial reports with the highest level of confidentiality and integrity.
- Project Coordination: Assist in planning, executing, and tracking key initiatives across portfolio companies and leadership teams.
- Market & Business Research: Conduct industry research and provide analytical reports to support decision-making and strategy.
- Personal Assistance: Manage personal appointments and responsibilities for the CEO while maintaining confidentiality.
Required Qualifications:
- Experience: Minimum 5+ years as an Executive Assistant supporting C-level executives in a private equity, holding company, investment firm, or financial services environment.
- Education: Bachelor’s degree in Business, Communications, or a related field preferred.
- Technical Expertise:
- Advanced proficiency in Microsoft Office Suite, Google Workspace, and productivity/expense tools.
- Familiarity with Asana, Trello, or similar project management platforms.
- Proficiency in digital communication tools and social media management for executive branding.
- Ability to analyze and interpret business data to inform decision-making.
Industry Knowledge:
- Strong understanding of private equity terminology, investment processes, and industry dynamics.
- Ability to track competitor actions and market trends to support strategic initiatives.
Soft Skills:
- Exceptional verbal and written communication with impeccable grammar and attention to detail.
- High level of discretion, integrity, and professionalism in handling confidential information.
- Strong problem-solving, adaptability, and multitasking skills.
- Ability to prioritize effectively and remain composed under pressure.
