NSTXL is creating an ecosystem of innovators to collaborate and bring next-generation technologies to the end-user. Our OTAs have over 900 members from corporate, non-profit, educational, and financial institutions. For these members, NSTXL offers opportunities to bid on government contracts, education and training, and live/virtual forums on various topics.


Job Description:


The Executive Coordinator is a key member of the President and Chief Executive Office, reporting to the Director of Corporate Brand, Communications, and Operations. This position offers a unique blend of responsibilities including providing high-level administrative support to the C-Suite and broader executive team, supporting internal communications, design, and engagement initiatives. The ideal candidate is proactive, detail-oriented, highly organized, and able to handle sensitive information with discretion and professionalism in a fast-paced, evolving environment.

 

What You'll Do:


Administrative Support

  • Executive Assistance: Serve as a primary point of contact for internal and external stakeholders engaging with the C-suite. Manage calendars and schedule meetings for the President, CEO, COO, and other XLT members as appropriate.
  • Document & Presentation Preparation: Prepare agendas, distribute pre-read materials, capture meeting notes and decisions, and track follow-up actions. Support the development of presentations, briefings, and executive communications.
  • Executive Meeting Coordination: Assist the Director of Brand, Communication, and Operations in planning and executing cross-functional leadership meetings, offsites, and strategic sessions—handling logistics, attendee management, and post-meeting follow-up.
  • Purchase & Expense Management: Process expense reports, invoices, and purchase requests on behalf of the COO office and executive team.
  • Confidentiality & Discretion: Handle sensitive information with professionalism, sound judgment, and the utmost confidentiality.
  • Process Improvement: Identify opportunities to streamline administrative workflows and enhance efficiency across the executive function.

Internal Brand and Communications

  • Strategy Support: Assist in executing an integrated internal communications strategy that ensures timely, clear, and consistent messaging across the organization.
  • Content Development: Draft and manage content for internal channels such as email updates, newsletters, and intranet postings. Support the creation of presentations, templates, and light collateral in PowerPoint and other formats, maintaining consistency with brand guidelines. Assist in developing graphics and visuals for executive and internal communications as needed.
  • Brand Support: Contribute to internal brand initiatives, applying brand standards to internal and executive-facing materials to ensure alignment with company values and visual identity.
  • Employee Engagement: Partner with internal teams to support initiatives that foster a strong company culture and drive employee engagement.
  • Feedback & Communication Effectiveness: Help establish feedback loops to evaluate internal communication effectiveness and recommend improvements.



What You Bring:

  • Bachelor’s degree in Communications, Business Administration, or a related field preferred.
  • Minimum of 3 years in executive support and/or internal communications, ideally in a remote or hybrid environment.
  • Communication: Excellent written and verbal communication skills.
  • Organization: Strong organizational and project management abilities.
  • Design & Branding: Eye for design, with ability to apply brand standards to presentations, emails, and basic collateral. Familiarity with tools such as PowerPoint, Canva, or Adobe Creative Suite a plus.
  • Technology Proficiency: Familiarity with communication tools and platforms, such as Microsoft Office Suite, Teams, and intranet systems.
  • Interpersonal Skills: Ability to build relationships and work collaboratively across all levels of the organization.
