  • The Native Village of Eyak (NVE) is a federally recognized Tribal government based in Cordova, Alaska—a remote, roadless community nestled between the eastern Chugach Mountains and the waters of Prince William Sound.

As both an Indian Health Service facility and a Community Health Center, Ilanka offers affordable, high-quality care through contract health services and sliding fee scales. In addition to medical services, Ilanka also provides behavioral health support.

About This Role


ADMINISTRATIVE OFFICE MANAGER

Work Location: Primarily onsite work in Cordova, Alaska. A hybrid schedule may be available for this position subject to approval.

Salary Grade:   16

 

Reports To:  Director of the Office of Self-Governance & Tribal Programs

 

Schedule: Full Time Regular, 40 hours per week

FLSA Status:   Salaried & Not Eligible for Overtime Pay

POSITION SUMMARY

 

The Administrative Office Manager is responsible for overseeing the daily operations of the office to ensure an efficient, organized, and professional work environment. This position provides administrative leadership, coordinates internal communications, supports staff and department needs, and ensures compliance with organizational policies and procedures. The Administrative Office Manager manages office systems and supplies, schedules and logistics, assists with budgeting and reporting, and plays a key role in supporting leadership with operational planning and execution. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

 



ESSENTIAL DUTIES

 

1)     OSGTP Department Support

a)      Provide comprehensive administrative support to the Director of the Office of Self-Governance & Tribal Programs (OSGTP).

b)     Assist the OSGTP Director with internal and external communications, correspondence, and document preparation.

c)      Prepare briefing packets, reports, and presentations for Council, Executive Leadership, and funding agencies.

d)     Coordinate OSGTP Director (or designee) signatures and Delegation of Authority memos when necessary.

e)     Reconcile OSGTP Director purchase and travel receipts.

f)       Organize, prepare materials, and take meeting minutes for internal committees and teams.

g)      Support implementation and follow-up of OSGTP action items and administrative priorities.

h)     Reconcile purchasing, invoicing, and monthly credit card statements for OSGTP.


2)     NVE Admin Building Office Management

a)      Oversee general office operations at the NVE Administration Building, including supplies, equipment, janitorial services, and common areas (conference rooms, kitchen, lobbies, foyer, laundry room).

b)     Manage office supply orders and vendor coordination to ensure smooth daily operations.

c)      Coordinate with maintenance and IT staff to maintain workplace efficiency and ensure data security.

d)     Provide backup for reception duties, including phone coverage, mail processing, and visitor assistance.

e)     Coordinate office services to maintain operational efficiency.


3)     Scheduling & Calendar Coordination

a)      Manage and maintain schedules for the OSGTP Director and department leadership.

b)     Coordinate meeting logistics (scheduling, room setup, communications, and catering).

c)      Oversee and maintain shared office calendars.

d)     Maintain group email and calendars for internal committees and teams.


4)     Tribal Program & Committee Support

a)      Support administration of OSGTP agreements, compacts, and funding streams through accurate recordkeeping and document preparation.

b)     Provide administrative and logistical support for Tribal program events, community meetings, and public engagement efforts.

c)      Coordinate with multiple Tribal Programs to ensure efficient management of shared administrative needs (scheduling, purchasing, and travel).

d)     Serve as Point of Contact and administrative support for the Election Committee during Council elections.


5)     Essential Duties of All Staff

a)      Works safely in accordance with OSHA regulations and company safety policies.

b)     Immediately reports unsafe conditions, hazards, or injuries to HR or the designated safety contact.

c)      Attends all mandatory special events, meetings, and trainings.

d)     Assists with special events, meetings, and trainings as necessary.

e)     Maintains confidentiality at all times.

f)       Maintains awareness and sensitivity to various cultures.

g)      Embodies Tribal values throughout all work.

h)     Performs other duties as assigned.


6)     Essential Supervisory Duties

a)      Supervise and manage these employees:

i)       Receptionist / Expeditor

ii)      Enrollment Clerk

iii)    Janitor (Contractor)

b)     Provide guidance, coaching, and support to employees to ensure performance and development.

c)      Assign, monitor, and review work to meet quality and productivity standards.

d)     Conduct performance evaluations and address performance or conduct issues promptly.

e)     Enforce company policies, procedures, and workplace safety standards.

f)       Promote a positive, inclusive, and professional work environment.

g)      Serve as the primary point of contact for employee questions, concerns, and problem resolution.

  • Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Skilled in email, calendar, and scheduling tools.
  • Comfortable with online collaboration platforms (e.g., Teams, Sharepoint, Zoom).
  • Able to enter, manage, and retrieve data from databases.
  • Quick to learn and adapt to new software or technology.
  • Experience with Asana, MIP Accounting, Microix, SmartSheets, Fleetio, or Rippling is a plus.


EDUCATION AND EXPERIENCE

·        EDUCATION: High school diploma or GED required. Additional coursework or continuing education in office management, business administration, or a related field is preferred.


·        WORK EXPERIENCE: Minimum of 5 years of progressive administrative or office management experience; experience in Tribal government or public administration preferred.


·        CERTIFICATES / CERTIFICATIONS / LICENSES : Must possess a valid driver’s license and maintain an insurable driving record in accordance with the company’s auto insurance policy requirements.
