Oceania International is a fast-growing e-commerce company seeking a highly organized and detail-oriented Operations Assistant to support our Operations team. This role is essential to the smooth daily functioning of various departments, including customer service, warehouse coordination, product tracking, and administrative support.

As an Operations Assistant, you will play a key role in executing routine tasks, assisting with project coordination, supporting logistics processes, maintaining records, and ensuring timely communication across departments. What you'll do

Customer Support & Ticketing

  • Assist in managing the Zendesk ticketing system, including updating records and assigning tickets.
  • Collaborate with customer service and technical support teams to ensure accurate and timely communication.
  • Compile and monitor departmental performance data for reporting purposes.

Logistics & Product Coordination

  • Support product transfers between domestic warehouses and track shipment statuses.
  • Assist in documenting and scheduling international container shipments.
  • Maintain inventory tracking in ERP systems and issue low-stock alerts.

Administrative & Project Support

  • Provide administrative support for cross-functional operations projects.
  • Schedule and coordinate internal meetings, take meeting notes, and track follow-up actions.
  • Maintain and update department documentation, templates, and process guides.

ERP & Dashboard Management

  • Input and maintain accurate data in ERP systems.
  • Assist in creating and updating dashboards for Customer Service, Technical Support, and Marketing using Excel or Tableau.
  • Generate and format weekly and monthly performance reports.

Warehouse Operations Support

  • Assist with demo room scheduling, affiliate shipments, and coordination with the marketing team.
  • Provide basic fulfillment support for special projects or key partners.

Qualifications


Required:

  • 1–2 years of administrative, operations, or logistics support experience.
  • Proficiency in Microsoft Office and Google Workspace.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and adapt to changing priorities.
  • Excellent communication and teamwork skills.

Preferred:

  • Experience in e-commerce, consumer products, or logistics operations.
  • Being bilingual in Mandarin is a plus.

Working Conditions:

  • Regular office hours with occasional flexibility to support shipping deadlines or projects.
  • Prolonged periods of sitting and computer use; occasional lifting of packages or sample products.


The pay range for this role is:

22 - 26 USD per hour (Santa Ana )
