Position Summary: 

The key roles and tasks of the Venue Booking & Logistics Manager is to oversee all aspects of venue management for our events including but not limited to our conventions, regional competitions and national finals. This leadership and managerial role is responsible for the execution of sourcing, booking, and coordinating our event venues through managing the venue logistics team and ensuring that each venue meets the operational and experiential needs of our clients, staff, and attendees. This position reports directly to the C.O.O. of OneBeat Dance Brands. 

**This position requires working hours aligned with the Eastern Standard Time Zone (9:30 AM – 5:00 PM EST). Applicants must be able to consistently work during these hours, regardless of their physical location.

Key Responsibilities: 

Venue Sourcing & Booking 

  • Research, evaluate, and secure appropriate venues for scheduled competition dates across multiple cities and regions, as well as managing the team who executes said tasks. 
  • Review and negotiate contracts with venues, ensuring favorable terms and compliance with organizational requirements. 
  • Maintain a comprehensive calendar of venue bookings, deadlines, payment schedules, insurance submissions, and more. 

Venue Logistics Management 

  • Oversee venue-specific logistics including, but not limited to, load-in/load-out timelines, floor plans, staging requirements, power and AV needs, potential food and beverage requirements, and other accommodations/needs. 
  • Coordinate with venue staff and third-party vendors (if needed) to ensure smooth event execution. 
  • Conduct local site visits as needed to assess suitability and plan event layouts. 

Team Management 

  • Lead, train, and supervise members of the venue department. 
  • Delegate tasks and ensure that all team members are aligned with project timelines and quality standards. 
  • Facilitate department meetings and reporting to ensure quality, accountability and collaboration. 

Project Management 

  • Develop and maintain detailed project plans and timelines for all venue-related tasks. 
  • Collaborate cross-departmentally with other department managers to ensure all venue needs are anticipated and integrated into the broader event planning process as well as assist them in executing their department's tasks in coordination with venue allowances and timelines. 

Budget & Reporting 

  • Manage department costs and budgets including venue rental fees, equipment rentals, venue staffing, and all other additional charges associated with renting a venue. 
  • Maintain accurate records of contracts, invoices, and communications for all venues. 

Qualifications: 

  • Preferred but not mandatory: experience in event management, venue coordination, project management or a related field. 
  • Strong leadership and team management skills. 
  • Proven ability to handle multiple projects simultaneously and meet deadlines. 
  • Excellent negotiation, communication, and organizational skills. 
  • Proficiency in Microsoft Office including excel. 
  • Background in the performing arts or familiarity with dance competitions is a plus. 

 

 

On-The-Road Job Brief: 

The specific functions of a Team Member’s role while on-the-road will cover a wide scope of activities.  This is because all events are not, and will never be, the same. During the regional, national, and convention seasons you will be scheduled to work pre-determined events. During weekends off the above-mentioned season, you will be on-call to assist the Tour Team and other Leadership Team Members as needed. 

Responsibilities of the Team Member include but are not limited to: 

  • Assist with event setup and breakdown, which may include a stage build 
  • Participate in all mandatory training sessions 
  • Execute responsibilities of your assigned position to the standards established by your Team Lead 
  • Uphold a professional, friendly, and positive demeanor when interacting with clients, attendees, venue staff, and fellow team members. 
  • Adhere to and represent the values, brand, and professional standards of OneBeat at all times. 
  • Demonstrate adaptability and teamwork by assisting in other roles or duties as needed during the event. 
  • Follow all event protocols, timelines, and safety procedures as outlined in training and by leadership. 
  • Maintain a clean, organized, and professional workspace throughout the event. 
  • All other duties as assigned or designated.

The pay range for this role is:

60,000 - 80,000 USD per year (Remote (United States))
