HR Generalist - Onsite Role

HQ Office - 8 Galaxy Way, Woodstock IL


The HR Generalist supports the full employee lifecycle with a primary focus on recruiting, onboarding, HRIS data integrity, benefits and leave administration, and day-to-day employee support. This role partners closely with the Sr. HR Generalist to ensure a positive employee experience, accurate records, and compliant HR practices.

What Will You be Doing?


Recruiting & Onboarding

  • Meet with hiring managers and use the new role form to clarify headcount needs, responsibilities, and requirements.
  • Draft job descriptions when one is not provided and obtain hiring manager approval.
  • Conduct salary analysis to confirm appropriate hiring range based on internal equity and market data.
  • Post open roles in Rippling/HRIS and coordinate internal posting emails when applicable.
  • Review resumes and coordinate all interview scheduling, including with hiring managers.
  • Draft and negotiate offer letters; ensure all offers are approved prior to release.
  • Conduct welcome calls with candidates who accept offers.
  • Initiate background checks and drug screens and track completion.
  • Hire new employees into the HRIS (Rippling), ensuring accuracy of all data fields.
  • Coordinate first-week schedules with hiring managers and send detailed first-day welcome emails.
  • Schedule first-week meetings on calendars
  • Coordinate with IT to ensure equipment, system access, and workspace are ready for day one.
  • Prepare and/or coordinate new hire swag bags.
  • Conduct HR onboarding calls and complete I-9 verification; provide office/building tours and key fob access for onsite hires.
  • Set up and track 30/60/90-day check-ins.
  • Ensure job descriptions, offers, and NDAs are signed and filed in the employee profile.
  • Capture onsite new hire photos or collect photos from remote hires for internal use.

Small Employee Events

  • Coordinate small onsite employee events (e.g., team lunches, celebrations).
  • Order food, set up the breakroom, and ensure décor and supplies are in place.
  • Clean up and reset the space following events.

Communications

  • Draft, proofread, and send HR and company-wide employee communications in alignment with brand and leadership direction.

Employee Questions & Service

  • Manage approximately 50% of the HR shared inbox in partnership with the Sr. HR Generalist.
  • Respond to routine policy, payroll, and HR process questions, escalating complex items as needed.

Benefits Administration

  • Respond to roughly 50% of benefits-related questions in coordination with the Sr. HR Generalist.
  • Support open enrollment communications, basic troubleshooting, and HRIS updates related to benefits.

ADA/FMLA & Leave Administration

  • Assist with 50% of ADA/FMLA and leave-related questions and approvals, working closely with the Sr. HR Generalist to ensure compliance and documentation.

HRIS & Data Management

  • Maintain accurate and up-to-date employee information in Rippling, including new hires, terminations, job changes, and status changes.
  • Support data audits and clean-up projects to ensure HRIS integrity and compliance.

Secondary Duties, Projects & Audits

  • Assist with audit-heavy HR projects, including file reviews and data reconciliations.
  • Support special HR projects as assigned (e.g., handbook acknowledgments, NDA campaigns, compliance initiatives).
  • Audit employee files to ensure each employee has a current, signed job description and NDA on file.

Mail & Filing

  • Scan and route onsite HR-related mail to the appropriate parties.
  • File all outstanding documents into employee profiles, including signed job descriptions and NDAs.
  • Assist on State or Tax notices when applicable.

 

What You Bring with You?

  • Bachelor’s degree in Human Resources, Business, or related field preferred; equivalent experience considered.
  • 2–4 years of HR experience, ideally in a generalist, coordinator, or HRIS/recruiting role.
  • Experience with an HRIS (Rippling strongly preferred).
  • Familiarity with benefits administration and basic ADA/FMLA concepts is a plus.
  • Experience coordinating recruiting and onboarding processes.
  • Strong attention to detail and commitment to data accuracy.
  • Excellent written and verbal communication skills, including professional email drafting and proofreading.
  • Highly organized with the ability to manage multiple priorities and deadlines.
  • Discrete and trustworthy with confidential and sensitive information.
  • Customer-service mindset and ability to build positive relationships with employees and managers.
  • Proficient in Microsoft Office; strong Excel/Sheets skills a plus.
  • Canva experience is a plus.
  • Legal background is a plus.

 

Compensation Structure for the Position         

The compensation package for this role includes a salary of $50,000-65,000 USD per year. The amount of variable compensation will be determined based on your experience, skills, and performance.
