Job Purpose & Position Overview

The Receptionist serves as the first point of contact for guests and occasionally callers, providing exceptional customer service while directing individuals to the appropriate team members. This position is responsible for monitoring and routing incoming emails, managing daily mail processes, maintaining office organization, ordering supplies, and completing various administrative tasks. The Receptionist plays an essential role in supporting office operations and upholding Panorama’s core values through professional, positive, and efficient service.


Responsibilities of Receptionist

Front Desk Operations

  • Process and forward all Reception/Info emails
  • Greet visitors professionally and enthusiastically, ensuring a positive first impression
  • Provide clear and accurate information in person, by phone, and via email
  • Maintain a clean, organized, and welcoming reception area
  • Answer and direct incoming calls promptly and courteously
  • Manage visitor check‑in procedures and ensure proper security protocols are followed

Mail, Document Handling & Office Support

  • Receive, sort, and distribute daily mail and deliveries
  • Accurately scan mail and route documents to the appropriate internal recipients
  • Perform clerical and administrative tasks, including filing, copying, faxing, and document preparation
  • Support general office organization and operational needs

Team Collaboration & Workplace Engagement

  • Demonstrate strong interpersonal and communication skills to actively foster positive teamwork and collaboration, contributing to an engaged and enthusiastic office environment
  • Collaborate with in‑office team members to support shared goals and maintain efficient workflows
  • Participate in regular office meetings and contribute to a positive, in‑person work culture
  • Remain open to and supportive of AI‑enhanced workflow improvements and new technology initiatives

Industry & Administrative Support

  • Cross‑train on industry knowledge, data entry, and other applicable insurance‑related tasks
  • Assist with preparing basic reports, updating records, or supporting administrative processes as needed
  • Uphold confidentiality and protect sensitive information in accordance with company standards

Professional Conduct & Adaptability

  • Represent the company in a positive, ethical, and professional manner across all communication channels
  • Multi‑task and adapt effectively in a dynamic, fast‑paced environment while balancing teamwork and independent work
  • Maintain professionalism under pressure and manage shifting priorities with composure
  • Perform additional duties as assigned; responsibilities may change or new ones may be added at any time without notice


Qualifications

  • Proficiency in computer applications, including Microsoft Office
  • High School Diploma preferred
  • Prior insurance industry experience preferred
