Office Administrator (part-time)

About Paubox

Our mission is to become the market leader for HIPAA compliant email security.

We are driven by the Paubox Foundations, which are core principles we care intensely about. They lay the groundwork for building a company of long-lasting and exceptional value.

The Paubox Foundations are:

  • Customer feedback. We use customer feedback as our roadmap of what to build and when to build it.
  • Big ideas matter. We know customers want security, reliability, and ease of use. These are big ideas that will not change over time.
  • GSD. We don’t just talk about getting the job done; we get the job done.
  • We do the homework. In a fast-paced environment, we do our homework before we embark. We don’t skip the hard work or ignore the details.
  • Honesty and trust. Honesty builds trust with our customers and our team. We know that honesty is essential to thriving at Paubox.
  • Clear communication. We thrive when there is clear, consistent communication with customers and with each other.
  • Data-driven. Business decisions are driven by data, not emotion.
  • We are leaders, not followers. We provide leadership in our industry, to our customers, and in our communities.

As only the paranoid survive, we know that to ensure future success, we must become an AI-native company. In other words, we are growing while keeping headcount relatively flat. We are not pursuing AI to replace people.

While Paubox operates as a remote-first company, this particular role is an exception and is based on-site at our San Francisco office. It’s a part-time position offering a flexible schedule of 10 - 15 hours per week, Monday through Friday, within standard business hours (8:00 AM–5:00 PM PT). On occasion, specific days or times may be required, but we’ll always provide advance notice to help you plan accordingly.

About the role

Paubox maintains a small hub in San Francisco and we are looking for a proactive and detail-oriented Office Administrator to help organize and maintain our physical workspace. This isn't a "sit behind a desk" receptionist role, it’s a hands-on physical position for a self-starter who takes pride in creating an organized, welcoming, and efficient environment for our local and visiting Pauboxers and guests.

Your day-to-day

  • Ensure our San Francisco office remains organized, clean, and fully functional for employees and visitors

  • Monitor and restock mailing supplies as needed
  • Organize, maintain, and send company swag
  • Act as the on-site point of contact for building management and external vendors
  • Prepare meeting rooms and communal areas for scheduled team gatherings and executive visits as needed
  • Assist with in-person events with Pauboxers, customers, and prospects in the local area
  • Provide occasional ad hoc project support for various departments as needed

What you'll need to succeed

  • Ability to work a consistent schedule of 10-15 hours per week on-site in our San Francisco office.
  • Experience with organizing physical spaces and managing day-to-day operations
  • Comfort with being active throughout the day, including the ability to lift and move packages or office furniture as needed up to 50 pounds
  • Clear and friendly communication skills
  • Ability to work onsite independently without supervision

It would be great if you also have

  • Previous experience in office administration or facilities management.
  • Familiarity with Slack, Google Workspace, or other modern collaboration tools.
  • A "no task too small" attitude and a passion for helping others.

What you'll get from us

  • Commuter benefit
  • $25.00 per hour
