About the role

The Group Services & Events Assistant plays a vital role in supporting the sales, coordination, and execution of group tours, private (social and corporate) events, and museum programs. This dynamic position is instrumental in helping the team meet monthly sales goals by managing administrative responsibilities and driving group tour sales. Ideal for a detail-oriented and proactive individual, this role combines behind-the-scenes organization with front-facing client interaction.


Duties/Responsibilities:

Lead Management

  • Respond and distribute new event leads from online inquiry forms to the Sales team
  • Respond to and manage group tour leads via phone and email
  • Monitor all lead status and follow up to ensure timely progression

Relationship Management

  • Build and maintain strong, collaborative relationships with internal departments, external vendors, and clients
  • Ensure seamless communication and coordination across all stakeholders

Administrative Support

  • Prepare and maintain weekly sales reports for the team
  • Manage schedules, calendars, and client communications
  • Maintain and update the client database (CRM) with accuracy
  • Process payments and manage event files to ensure accuracy and clear communication from sales to operations teams

Meetings & Coordination

  • Attend weekly operations and sales meetings
  • Record and distribute meeting minutes to ensure team alignment
  • Coordinate group visits and tours with the admission and education teams

Client Experience

  • Conduct tailored, engaging venue tours based on client needs and preferences
  • Respond to inquiries and provide information to enhance the booking process

Sales Responsibility

  • Directly responsible for achieving the annual goal of group tour sales revenue



Required Skills/Abilities:

  • 1-2 years of administrative experience
  • 1-2 years of sales experience
  • The ideal candidate will be a self-starter and a creative problem solver
  • Strong work ethic and sense of urgency
  • Strong computer skills, including Microsoft Office Word and Excel, CRM systems

Education and Experience:

Minimum Education (or substitute experience) required:

  • Associate's or Bachelor’s Degree, or equivalent experience


Minimum Experience required:

  • 1-2 years of administrative experience and sales experience

The pay range for this role is:

23 - 26 USD per hour (Petersen Automotive Museum)
