Position Summary
The Contracts Manager will work closely with PGLS’s outside legal counsel and internal departments assisting with a variety of tasks related to contract management, managing federal and commercial contracts, corporate compliance, and document organization. This role requires a proactive, detail-oriented individual who can manage multiple projects, coordinate with different departments, and support the company’s legal and regulatory requirements.
Job Responsibilities
- Support our Sales and Operations teams to draft, review, and edit various customer contracts such as sales agreements, non-disclosure agreements, amendments and other legal documents
- Review contract and insurance requirements compliance for federal, state and local RFPs
- Assist with monitoring the company’s corporate insurance policies, providing periodic updates due to business changes and providing certificates of insurance to various customers on an as needed basis
- Organize, maintain, and update a centralized contract management system, ensuring all documents are easily accessible, accurately categorized, and up to date
- Provide support for Federal related compliance such as SAM registrations, GSA schedule compliance and various government programs
- Support Mergers & Acquisition due diligence and post-acquisition integration
- Support the contract lifecycle management process, including tracking contract status, material contract compliance obligations, monitoring renewals and expirations, and assisting with contract review and execution
- Conduct preliminary contract and proposal compliance reviews to identify potential issues, key terms, and compliance requirements, escalating as needed to department leaders
- Assist in developing and standardizing contract templates and language to improve efficiency and consistency across the organization
- Coordinate with internal departments (e.g., finance, operations, HR) to gather the necessary information, internal reviews and approvals necessary for drafting and finalizing contracts
- Provide administrative support and status tracking for corporate governance activities, such as state registrations, and maintaining corporate records
- Ensure compliance with company policies and regulatory requirements related to federal and state contracts and record-keeping
Requirements
- Associate or bachelor's degree in paralegal studies, Legal Studies, or a related field
- 3+ years of experience as a paralegal or in a similar legal support role
- Strong writing skills
- Strong knowledge of legal terminology, court procedures, and legal document formatting
- Proficiency in Microsoft Office Suite and contract management systems
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
- Capable of working independently and as part of a team, with the ability to manage multiple priorities
- Applicant selected may be subject to a government clearance security investigation to meet eligibility for a Secret or Top-Secret clearance to access classified information
Ideal Candidate Will:
- Manage the Contract Lifecycle and a Contracts Assistant in Nairobi
- Review and negotiate contracts independently without frequent escalation
- Possess some familiarity with Federal Acquisition Regulation (FAR)
- Manage relationships with GSA and legal partners effectively
