Position Summary
The Contracts Specialist will work closely with PGLS’s outside legal counsel and internal departments, assisting with a variety of tasks related to contract management, managing federal and commercial contracts, corporate compliance, and document organization. This role requires a proactive, detail-oriented individual who can manage multiple projects, coordinate with different departments, and support the company’s legal and regulatory requirements.
Job Responsibilities
- Assist our Sales and Operations teams in drafting, reviewing, and editing various customer contracts such as sales agreements, non-disclosure agreements, amendments, and other legal documents
- Support compliance review of contract and insurance requirements for federal, state, and local RFPs
- Help monitor the company’s corporate insurance policies, prepare updates as directed, and assist in providing certificates of insurance to customers
- Organize, maintain, and update a centralized contract management system, ensuring all documents are easily accessible, accurately categorized, and up to date
- Provide support for Federal-related compliance such as SAM registrations, GSA schedule documentation, and other government programs
- Support Mergers & Acquisition due diligence and post-acquisition integration
- Support the contract lifecycle management process, including tracking contract status, compliance obligations, renewals, expirations, and assisting with contract execution
- Conduct preliminary contract and proposal compliance reviews under guidance, escalating issues or questions to department leaders as needed
- Assist in developing and standardizing contract templates and language to improve efficiency and consistency across the organization
- Coordinate with internal departments (e.g., finance, operations, HR) to gather necessary information, conduct internal reviews, and obtain approvals for contract drafting and finalization
- Provide administrative support and help track the status of corporate governance activities, such as state registrations and maintaining corporate records
- Support efforts to ensure compliance with company policies and regulatory requirements related to federal and state contracts and record-keeping
Requirements
- Associate's or bachelor's degree in Paralegal Studies, Legal Studies, or a related field
- 3+ years of experience as a paralegal or in a similar legal support role
- Strong writing skills
- Strong knowledge of legal terminology, court procedures, and legal document formatting
- Proficiency in Microsoft Office Suite and contract management systems
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
- Capable of working independently and as part of a team, with the ability to manage multiple priorities
- Applicant selected may be subject to a government clearance security investigation to meet eligibility for a Secret or Top-Secret clearance to access classified information
Ideal Candidate Will:
- Assist with managing the Contract Lifecycle
- Review and draft contracts under supervision, escalating complex negotiations to senior staff or legal counsel
- Possess some familiarity with Federal Acquisition Regulation (FAR)
- Help maintain relationships with GSA and legal partners as directed
