The firm has grown substantially over the last 15 years and serves a large, diverse client base, including many immigrants and small business owners such as Uber drivers, taxi drivers, and truckers. Many clients are navigating injuries while also trying to keep their businesses, vehicles, and livelihoods moving.

Why This Role Is Different

This is not a role where you sit behind the scenes completing the same tasks every day with little visibility into the bigger picture. As a Legal Assistant at our firm, you will be involved in nearly every stage of the client experience—from the first intake call through ongoing case support and communication.

You will work closely with attorneys, gain exposure to all aspects of case management, and have the opportunity to take on increasing responsibility as you demonstrate reliability and good judgment.

About the Opportunity

The firm is seeking a Legal Assistant who takes pride in producing accurate, high-quality work and is comfortable working in a fast-paced environment. You will work closely with attorneys and be involved in all aspects of case management. This role involves close supervision initially, followed by increasing autonomy as you demonstrate reliability and judgment.

What You'll Do

  • Serve as the first point of contact for all incoming phone calls and conduct detailed intake conversations.
  • Ask appropriate intake questions regarding referrals, settlement offers, accident details, and client condition.
  • Create, update, and maintain Clio records with accurate case, client, and adjuster information/communication.
  • Schedule follow-up calls, manage calendars, and coordinate meetings.
  • Set up and remind clients of medical appointments.
  • Greet clients and manage front-office operations.
  • Handle document management including scanning, uploads, printing, and mailing.
  • Assist with demand letters and case data tracking.
  • Verify medical bills and manage lien correspondence.
  • Track medical records and coordinate follow-ups.
  • Jump in wherever needed to support attorneys and staff.

Qualifications:

  • Prior legal assistant or administrative experience preferred.
  • Similar to a startup, you must be able to thrive in an environment new processes and be adaptable.
  • Proficiency in AI, cutting-edge technology (i.e. Eve) and basic software systems (i.e. Microsoft Office, Gmail) preferred.
  • Comfortable working in person and supporting a busy front-office/client-facing role.
