Team: Interim Database and Gift Processing Coordinator in the present accountability structures is line-managed by the Development Operations Officer, and is a member of the External Relations team

The two organisations work closely together with a shared grantmaking programme and strategic collaboration at the senior leadership level.

The Interim Database and Gift Entry Coordinator will need to bring care, adaptability, and alignment with these values, and be able to navigate change with flexibility and steadiness.


CONTEXT OF THIS ROLE

Global Greengrants Fund’s External Relations strategy is focused on mobilizing significantly greater and more flexible resources to grassroots climate and environmental justice movements globally. This includes growing and diversifying revenue across major individual donors, foundations, and aligned partners, while also influencing how philanthropy understands impact, scale, and resourcing in this field.

Within this context, the Philanthropic Partnerships team is responsible not only for fundraising but for building long-term donor relationships, strengthening trust-based giving practices, and contributing to broader philanthropic advocacy efforts that shift resources toward grassroots and Global South–led movements.

This role is a critical backbone of that strategy. By ensuring the integrity, accessibility, and strategic use of donor data and systems, the Interim Database and Gift Entry Coordinator enables the team to operate with clarity, accountability, and responsiveness—supporting effective relationship management, tailored external communication, reliable gift processing, accurate revenue tracking, and informed decision-making. The role also helps translate data into insight, strengthening how we understand and grow our funding ecosystem over time.

CORE RESPONSIBILITIES

Database Management (60%)

  • Serve as a primary administrator for Raiser's Edge (NXT and database), ensuring data accuracy, consistency, and completeness
  • Train and accompany the Philanthropic Partnerships team in using the database effectively—ensuring donor information is accurate, up to date, and actively used to manage relationships. 
  • Provide ongoing troubleshooting and serve as the point of contact with Blackbaud on technical issues and opportunities to improve how we use the system.·   
  • Maintain data integrity through regular audits, clean up, and adherence to best practices
  • Support integration with related systems, including email marketing platforms (Mailchimp, Omatic)
  • Build queries, generate reports, segmented lists, and support data analysis for the Philanthropic Partnerships team 
  • Develop and update standard operating procedures for database and gift processing workflows
  • Identify and implement improvements to systems, processes, and data quality
  • Support coordination across Philanthropic Partnerships, Finance, and Grants Management to ensure alignment on data, reporting, and workflows

Gift Processing, Revenue Tracking, and Reconciliation (30%)

  • Process gifts and oversee donor acknowledgement workflows, ensuring timely and accurate entry and documentation
  • Track and report restricted gifts and support alignment with Grants Management
  • Coordinate with the Finance Team to reconcile fundraising revenue to the Financial Edge database and update in-depth revenue reports for the Development team and Finance team.
  • Assist the Finance team with annual financial audits by storing and pulling documentation and information on gifts and donors.    


Stewardship and Administrative Support (10%)

  • Provide support for all fundraising and stewardship campaigns and projects. Duties include, but are not limited to, pulling segmented mailing and email lists, ensuring updated listserv using Omatic, and tracking the success of campaigns through data analytics.
  • Hold responsibility for regularly checking GGF’s mail and email inboxes, including pulling out donor and gift-related communication and documentation, and periodically responding to general inquiries or requests for support from donors wishing to make a gift
  • Provide other administrative support to the team and Co-Directors of Philanthropy as needed

Essential Experience & Skills

  • Relevant experience in similar roles in not-for-profit development, environmental, feminist, gender, Indigenous, human rights organizations, and/or funding organizations.
  • Experience in database maintenance for development, including gift entry, report creation, and an expert understanding of data integrity and how it ties into donor relations.
  • Must have advanced skills and experience with Raiser’s Edge (both the NXT and database version); experience with other CRMs like Salesforce is ideal but not required
  • Extraordinary attention to detail and ability to multitask.
  • Ability to work independently, while also serving and collaborating with different teams.
  • Advanced Microsoft Office Suite skills. Must be able to use spreadsheets to translate complex data into digestible information and insights; experience with project management platforms like Trello, preferred.
  • Ability to work efficiently and proactively, with excellent organizational skills
  • Excellent written and verbal communication skills.
  • Ability to problem-solve and troubleshoot a variety of issues.
  • Ability to carry out the tasks of the position with flexibility in responding to the requirements and shifting needs of the team and organization.

  • Fluency in English; proficiency in other languages preferred.
  • Strong expertise in the use of various software and a high level of computer literacy (MS Office Suite, Google Apps, instant messaging, and virtual team collaboration software such as Trello, Zoom, Slack, Asana, Raiser’s Edge, Smart Simple, Salesforce, or other donor management systems).

 Desirable Knowledge, Skills, Abilities, and Experience

  • Relevant lived experiences related to GGF’s work and community.
  • Awareness and experience with some of the following: grassroots social and/or feminist movements, environmental issues, and the role of community-led grantmaking.
