OVERVIEW:

We’re looking for a People Operations Coordinator to join our People Operations team in a blended role that is primarily focused on HR and employee experience, while also providing executive support and helping manage our New York office. This position is ideal for someone who is excited to build a career in People Operations while gaining broad exposure to the day-to-day operations of a growing organization.

As a member of the People Operations team, you’ll support employees across key moments in the employee lifecycle, with a particular focus on onboarding, culture, employee engagement, internal communications, and People Operations programs. You’ll help create experiences that make employees feel welcomed, connected, informed, and supported throughout their time at Quartile.

Alongside your People Operations responsibilities, you’ll provide calendar and administrative support to senior leadership and help keep our New York office organized, welcoming, and running smoothly. The variety is an important part of this role: on any given day, you might host a new-hire welcome session, coordinate an employee event, support a People Operations project, manage an executive calendar, or solve an unexpected office need.

The ideal candidate is outgoing, organized, resourceful, and service-oriented. You enjoy bringing people together, are comfortable managing multiple priorities, and bring strong attention to detail and follow-through.

REQUIREMENTS:

  • 1–3 years of experience in Human Resources, People Operations, People & Culture, employee experience, administrative support, office management, executive support, or a related field. 
  • A genuine interest in building a career in Human Resources or People Operations. 
  • Strong interpersonal skills and an outgoing, approachable style; you enjoy meeting new people and helping create an inclusive and engaging employee experience. 
  • Excellent organizational skills with the ability to manage multiple workstreams, deadlines, and shifting priorities. 
  • Strong written and verbal communication skills and the ability to create clear, engaging employee-facing communications. 
  • Strong attention to detail and follow-through. 
  • High degree of discretion and sound judgment when working with confidential or sensitive information. 
  • A proactive, service-oriented mindset with the ability to anticipate needs and solve problems independently. 
  • Comfort working cross-functionally and interacting with employees at all levels of the organization, including senior executives. 
  • Proficiency with Microsoft 365 and common workplace collaboration tools; familiarity with Canva, AI productivity tools, and HRIS platforms is a plus. 
  • Ability to work from Quartile’s New York office five days per week and travel periodically to Philadelphia for company events. 


WHAT YOU’LL DO:

People Operations & Employee Experience

  • Support the new-hire experience from preboarding through early tenure, including coordinating onboarding schedules and equipment, hosting welcome sessions, and facilitating new-hire and manager check-ins. 
  • Partner with People Operations leadership and the Culture & Wellness Committee to plan and execute employee engagement initiatives, wellness programs, recognition moments, the internal company newsletter, and activities that build connection across the organization. 
  • Plan and execute companywide events, seasonal celebrations, and employee gatherings, including coordinating venues, catering, vendors, communications, and day-of logistics. 
  • Support recruiting activities for designated roles, including candidate screening and interview coordination. 
  • Support employee recognition, employer brand, workplace award, and engagement-related programs. 
  • Assist with People Operations projects, process improvements, documentation, and program administration as organizational needs evolve. 
  • Serve as an approachable point of contact for employees, helping connect them with the appropriate People Operations resources and support. 

Executive Support

  • Own calendar management and meeting scheduling for the CEO, serving as a primary point of coordination for internal and external meeting requests. 
  • Provide ad hoc scheduling and meeting support across the executive team. 
  • Partner with internal stakeholders and board members to coordinate monthly calls, quarterly board meetings, and related logistics. 
  • Support coordination of companywide leadership meetings and updates, including gathering materials and managing logistics as needed. 
  • Arrange catering for executive, board, client, and other on-site meetings. 
  • Coordinate occasional executive travel and related logistics. 

Office Management

  • Help create a welcoming and well-run New York office environment by managing office supplies, snacks, beverages, and other day-to-day workplace needs. 
  • Manage office memberships, guest registration, employee badges and access, and conference room bookings. 
  • Serve as a point of contact for workplace vendors and office systems, partnering with IT or building management when support is needed. 
  • Manage incoming mail and ensure materials are routed appropriately. 
  • Coordinate employee equipment logistics, including laptop inventory, new-hire setup, and equipment returns.

  • The base pay for this position is targeted at $60,000–$65,000 base salary per year
