About the role
We’re looking for a highly organized, proactive Office Coordinator to help keep our team running smoothly day to day. This person will own a wide range of administrative and office support responsibilities, from coordinating travel and managing supplies to supporting meetings, vendors, facilities, and internal processes.
This is a key role for someone who enjoys creating structure, solving problems, and making sure the team has what it needs to do its best work.
What you'll do
- Manage day-to-day administrative support
- Coordinate business travel, including flights, hotels, ground transportation, and itineraries
- Support scheduling for internal meetings, team events, and occasional leadership meetings
- Maintain office supplies, equipment, and shared spaces
- Liaise with vendors, couriers, and service providers
- Help manage invoices, purchase requests, expense tracking, and other administrative documentation
- Support onboarding logistics for new hires, including workspace setup, supplies, and coordination across teams
- Organize company events, team offsites, lunches, and internal gatherings
- Maintain internal administrative processes and keep documentation organized and up to date
- Handle incoming mail, shipments, and general office correspondence
- Assist with ad hoc projects across teams
- Identify ways to improve office systems, workflows, and team experience
Qualifications
- 1-2+ years of experience in office administration, coordination, executive support, or operations
- Strong organizational skills and high attention to detail
- Ability to manage multiple priorities and stay calm in a fast-paced environment
- Excellent written and verbal communication skills
- Comfortable coordinating logistics and solving problems independently
- Strong judgment and a service-oriented mindset
- Proficiency with common workplace tools such as Google Workspace, Microsoft Office, Slack, calendar tools, and expense/travel platforms
- Ability to handle sensitive information with discretion
Nice to Have
- Experience in a startup or high-growth environment
- Experience supporting travel booking and event coordination
- Familiarity with vendor management, procurement, or basic office budgeting
- Experience supporting onboarding or employee experience initiatives
