The role is based at DroneShield’s central Sydney headquarters. Overseas on-the-ground presence includes Virginia (USA), Netherlands, Denmark, Mexico and Dubai, as well as distributors in over 70 countries worldwide. 


About the role

DroneShield is seeking a highly organised and detail-oriented Legal Administrative Assistant to support the General Counsel and broader Legal and Compliance Team.

This role is critical in ensuring the efficient day-to-day functioning of the legal function, including document management, corporate governance support, and coordination of legal and compliance activities across a fast-paced, global business.

You will play a key role in maintaining legal records, supporting internal processes, and assisting with administrative aspects of legal and compliance work in a defence and technology environment.

Responsibilities, Duties and Expectations 

  • Provide administrative support to the General Counsel and legal team, including diary management, scheduling meetings, categorising and directing workflows, and managing correspondence
  • Maintain and organise legal documents, contract databases, and records management systems
  • Assist with the preparation, formatting, execution, and filing of legal documents (e.g., NDAs, agreements, corporate documents)
  • Support company secretarial and corporate governance activities, including board and committee documentation preparation
  • Coordinate document execution processes (including electronic signing workflows) and maintain execution records
  • Assist with onboarding documentation and record-keeping for third parties, including suppliers, partners, and contractors
  • Conducting vetting for third parties interacting with DroneShield, including end-users, resellers, partners, suppliers, and contractors
  • Liaise with internal stakeholders across legal, finance, HR, and operations to support document collection and process coordination
  • Monitor and track key dates, deadlines, renewals, permits/licences, and compliance obligations
  • Support regulatory lodgements and correspondence with relevant Australian and international authorities, as required
  • Assist with internal policy updates, version control, and distribution
  • Provide general administrative assistance on legal projects, audits, and compliance initiatives

Qualifications, Experience and Skills 

  • Prior experience (2+ years preferred) in an administrative or legal support role, ideally within an in-house legal, corporate, or professional services environment
  • Certificate, Diploma, or tertiary qualifications in Business Administration, Legal Studies, or a related field are advantageous but not essential, including if you are currently in the process of obtaining any of these
  • Strong organisational and document management skills, with excellent attention to detail
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and familiarity with document management, contract lifecycle, ERP and CRM systems
  • Proficiency with implementing AI tools and LLMs into business workflows
  • Ability to handle confidential and sensitive information with discretion and professionalism
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced, high-growth environment
  • Proactive, adaptable, and team-oriented mindset
