About the Role
EHS Support is seeking a Team Administrator / Document Specialist to provide business, administrative and marketing support to the EHS Support team, focusing on the Australian and New Zealand Operations, with backup support to the USA Operations. The successful candidate will be a resourceful, self-starter, proficient in Microsoft Word with a strong grasp of English grammar and strong interpersonal skills. Our future team member is a detail oriented, tech-savvy, multi-tasker with the determination and drive to ensure excellence in internal customer service and external deliverables down to the very last page.
Document Specialist responsibilities include (approximately 40% of role):
· Advanced use of MS Word with a demonstrated ability to follow templates, apply styles and format new and existing documents per the EHS Support Style Guide.
· Proofread and editing documents for correct grammar, structure, clarity, and consistency.
· Covert documents to PDFs with bookmarks, including tables, figures, and appendices.
· Collaborate with Project Managers to understand deliverable requirements, including deadlines, formats, and structure.
Team Administrator responsibilities include (approximately 50% of role):
· Update and manage information on the team OneNote and SharePoint sites.
· Coordinate input for large proposals and input standard company information.
· Train new hires on internal administrative processes.
· Setup up SharePoint filing systems for new projects according to company filing structure.
· Gather HSE statistics for input into client databases.
· Manage company information within procurement systems including ISN, Avetta and Ecovadis.
· Develop and maintain internal training and supplier registers.
· Occasionally review and format presentations in MS PowerPoint.
· Occasionally organise travel and functions.
· Ad hoc duties as they arise including stationery orders and office maintenance coordination.
Marketing Support responsibilities include (approximately 10% of role):
· Support branding and marketing initiatives.
· Support with summarising project information and staff experience into short extracts for external branding.
· Formatting and proof-reading brochures and other marketing materials.
About You
· 5-10+ years’ experience in similar role preferred.
· Ability to work independently and prioritise tasks appropriately.
· Experience in document formatting and an eye for presentation.
· Experience in proof reading documents.
· Experience in writing short extracts is desirable but not essential.
· Tech-savvy with an ability to learn new software, processes, and platforms.
· A desire to grow and expand knowledge, take on new challenges, and advance skillset.
· Prior experience with environmental and remediation projects is highly desirable but not essential.
· Bachelor’s degree in a relevant field is desirable but not essential.
